We are seeking a highly organized, service-oriented Receptionist to join our San Diego team. This individual will play a key role in ensuring our office operates smoothly, visitors feel welcome, and staff receive excellent administrative support.

Position Summary

The Receptionist is the first point of contact for clients and guests, while also supporting essential day-to-day operations. The ideal candidate is personable, proactive, detail-oriented, and comfortable balancing a wide range of responsibilities in a fast-paced professional environment.

This role is on-site in our San Diego office. We are considering local candidates only.

Key Responsibilities

Reception & Visitor Support

  • Greet and welcome clients, guests, and vendors with professionalism and warmth

  • Check in visitors and notify appropriate staff members

  • Maintain a clean, organized, and inviting reception area

Communications & Front Desk Administration

  • Answer, screen, and route incoming calls

  • Respond to general inquiries via phone and email

  • Take accurate messages and ensure timely follow-up

Office & Facilities Coordination

  • Manage office supply and grocery inventory; place orders as needed

  • Stock and maintain the San Diego office kitchen

  • Regularly clean and organize all storage spaces

  • Submit and track basic office maintenance requests for all offices (San Diego, Los Angeles, Seattle)

  • Coordinate with building management or vendors for routine repairs or issues

  • Manage parking and building access passes; maintain updated records 

Meeting & Event Support

  • Set up meeting spaces and assist with Teams/Zoom call preparation

  • Arrange refreshments or meals for meetings; order lunches as requested

  • Assist with planning and preparation for small internal events

Administrative Support

  • Sort and distribute daily mail and packages

  • Assist with filing, scanning, and document organization

  • Maintain internal contact lists, calendars, and directories

  • Prepare basic correspondence, forms, or documents

  • Support staff with general administrative tasks as needed

Qualifications

  • Previous experience in a receptionist, administrative, or office coordinator role preferred

  • Strong communication and customer service skills

  • Highly organized with the ability to multitask and prioritize

  • Proficient with Microsoft Office Suite; familiarity with Teams and Zoom

  • Professional, reliable, and able to maintain confidentiality

  • Ability to lift up to 20 lbs. as needed for deliveries, storage organization, or meeting setups
