Job Summary:
We are seeking a highly skilled Procure to Pay Lead to oversee the end-to-end procure-to-pay (P2P) operations within our Procure to Pay (PTP) Operations team. This role will focus on managing day-to-day PTP activities, ensuring timely purchase order (PO) processing, vendor management, Invoice review and approvals, email/ticket management, and driving process improvements across the PTP lifecycle.
Detailed duties & Responsibilities:
End to End PTP Operations Oversight. Oversee the full PTP cycle, including PO creation, and invoice processing. Ensure compliance with company policies and drive continuous improvements in efficiency, accuracy and quality assurance.
Process Compliance and Optimization. Monitor team adherence to PTP processes and SLAs, and identify areas for improvement. Implement process changes and best practices to optimize workflow and reduce cycle times.
Vendor & Stakeholder Management. Support vendor-related queries, ensuring timely onboarding and issue resolution. Collaborate with cross-functional teams, including procurement and finance, to resolve escalations and ensure smooth transactions.
Ensure Reporting & Data Accuracy. Ensure accurate tracking of key PTP metrics, including PO cycle time, invoice & expense processing times, vendor compliance, and Tier 1 travel escalation management. Conduct manual reviews/audits and provide regular reports and insights to management on team performance and opportunities for improvement.
Document Management. Oversee the organization and maintenance of all PTP documentation (e.g. playbooks/SOPs), ensuring compliance with audit and legal standards.
Training & Development. Train team members on process changes and updates, ensuring everyone is aligned with current best practices. Provide ongoing development opportunities to enhance the team’s skills and efficiency.
Adhoc Support. Provide hands-on support for PTP high-priority tasks and projects. Manage escalations from the BPO team, ensuring timely resolution of issues that could impact PTP operations.
Other skills & Requirements:
6+ years of experience managing end-to-end PTP processes in a global setup, with a focus on accounts payable, purchase order (PO) management, and invoice processing.
With at least 2 years supervisory experience, with a proven track record of managing teams in accounts payable and PTP operations.
Demonstrated ability to mentor, train, and guide team members to drive efficiency and performance in PTP processes
Experience with travel and expense management, including policy compliance, expense reconciliation, and the use of Chrome River or similar tool is preferred.
Experience with month-end close processes, ensuring accurate reporting and timely reconciliation of accounts payable and T&E transactions.
Strong attention to detail, ensuring accuracy and completeness in invoice processing, PR to PO creation, and payment processing.
With background on internal controls and compliance with company policies, including audit readiness and risk mitigation.
Excellent verbal, presentation, and written communication skills, with experience working with cross-functional teams, including finance and procurement.
Proven ability to identify opportunities for process improvements in procurement and accounts payable workflows to increase efficiency and reduce cycle times.
Experience working closely with finance, procurement, and legal teams to ensure smooth operations in PTP and accounts payable.
Ability to manage vendor relationships and resolve issues related to payment processing and compliance.
Strong customer service mindset
Excellent analytical and problem solving skills
Strong understanding of accounting principles, accounts payable processes, and financial reconciliations, with a CPA or equivalent qualification preferred.
Proficient in ERP systems, especially NetSuite, and procurement platforms, Zip and Coupa. Netsuite and Coupa experience is required, with Zip strongly preferred.
Bachelor’s degree in Accounting, Finance, Business Administration, Economics, Supply Chain Management or other relevant fields.
