Job Title: Executive Assistant (Remote, US Client)

Overview
We are seeking a highly proactive and detail-oriented Executive Assistant to provide administrative and operational support to our US-based client. The ideal candidate will have exceptional communication skills, strong organisational abilities, and the ability to work independently while maintaining a high level of responsiveness.

Work Schedule
Must be able to work on Central Standard Time (CST) to ensure overlap between PST (client's time) and EST (candidates' time).

This is a part-time role, with hours that may scale up or down depending on workload and performance.

Key Responsibilities

  • Manage and organise the client's email inbox, ensuring spam is filtered and important emails are flagged, attended to, or escalated as needed.

  • Book, confirm, or reschedule interviews and meetings on behalf of the client.

  • Provide timely follow-ups and ensure no critical communications are missed.

  • Demonstrate critical thinking and problem-solving in handling administrative tasks.

  • Maintain a high level of attentiveness, responsiveness, and professionalism at all times.

  • Use AI tools such as ChatGPT to improve productivity and efficiency.

  • (Nice to have) Assist in sourcing candidates or information when required.

Desired Skills and Experience

  • Proven experience as an Executive Assistant, Recruitment Assistant, Personal Assistant, or similar administrative role.
  • Experience in sourcing or recruitment support.
  • Excellent written and verbal communication skills.
  • Strong organisational skills and attention to detail.
  • Proactive and resourceful with the ability to anticipate needs.
  • Experience using AI tools to streamline work processes.
  • Critical thinker capable of prioritising tasks effectively.
  • Experience with sourcing or recruiting workflows.
  • Experience with RecruiterFlow software is strongly preferred.
  • Must be able to text (not WhatsApp) for appointment scheduling (though this may be handled via RecruiterFlow).
