Role Responsibilities

Administration

- Provide timely, efficient and accurate administrative support for the recruitment team, ensuring administrative compliance

- Ensure the data integrity of Bullhorn - check and maintain on a daily basis

- Review all information provided by candidates and ensure Bullhorn is updated:

  • Resume
  • Pre-Screen Survey
  • Interview Results
  • Registration

- Review the following as required and directed by the Recruitment Team:

  • Reference Checks
  • Inductions, Compliance and Workpro Training
  • Employment Contract Compliance

- Review and manage Credentials in Bullhorn, ensuring all Candidates have updated and current credentials

  • Review expiry
  • Review automation reports
  • Liaise with Candidate if information is missing or not current
  • Ensure current copies are attached to Candidate Record in Bullhorn

- Ensure copies of all documentation are on the Candidate or Client File in Bullhorn

- Review and respond appropriately, in a timely manner, liaising with the Senior Recruitment Consultant, to all emails being received.

- Ensure all phone calls are answered promptly and in a professional manner, recording accurate messages and notes

- When directed by the Senior Recruitment Consultant, assist in any recruitment and selection activities

- Ensure all processes, procedures and business practices are adhered to

- Provide outstanding service to all candidates, taking a genuine interest in their career aspirations and building strong relationships

- Provide outstanding service to all clients, directing calls or queries appropriately

Business Development, Client Care, Marketing and Brand Reputation

- Support all business development, client care and marketing activities to ensure the company's reputation is second to none

Policy, Quality and Compliance

- Ensure adherence to QA and compliance policies and philosophies of the company

- Adhere to standards and services, ensuring legislative requirements and company needs are met

- Adhere to company policies, standards and procedures

- Promote and maintain a safe working environment

General

- Demonstrate an understanding of professional behaviours in accordance with the Achieve Group Australia's values and culture across the organisation

- Contribute to the development of process flows and process improvement initiatives

- Proactively participate in annual performance reviews

- Attend required regulatory and industry-relevant training when required

- Self-undertake agreed professional training per year

- Work collaboratively with the team to reach team goals in addition to achieving and exceeding your own targets

- Perform any other duty as requested by the manager

Skills and Competencies

- Previous experience in customer service and recruitment administration, particularly in a high-volume environment
- Excellent communication skills and ability to communicate with both internal and external stakeholders
- Excellent administrative skills with a willingness to learn new processes and systems
- Excellent organisational, time management and prioritisation skills
- Ability to work both in a team and independently
- Support workplace diversity
- Competent in Microsoft Suite of Products (MS365)
- Operation knowledge of meeting platforms such as Skype, Google Hangouts, MS Teams, Zoom
- Exposure to the Recruitment Industry Software Packages (highly regarded)
- High attention to detail and dedication to follow through on multiple priorities within time constraints
- Ability to handle personal and sensitive information appropriately, maintaining confidentiality at all times
