About the job Recruitment Coordinator - FT - AU
We are looking for an organised and detail-oriented Recruitment & Workforce Coordinator to support end-to-end recruitment, onboarding, rostering, and workforce administration across our Melbourne and Adelaide operations. This role sits at the intersection of recruitment, compliance, and workforce planning, making it ideal for someone who thrives in a fast-paced, high-pressure environment and can manage multiple priorities without dropping the ball.
Key Responsibilities
Recruitment
- Manage end-to-end recruitment for VIC and ADL operations
- Source, screen, and coordinate candidates through to offer stage
- Maintain a healthy pipeline to meet ongoing and surge workforce demands
Onboarding & Induction
- Coordinate meet-and-greet sessions for new starters
- Manage all pre-employment requirements including medical bookings and police checks
- Prepare and process onboarding documentation
- Submit complete candidate files to People & Culture (P&C) and forward relevant documentation to ABFs Security
- Book and coordinate induction sessions for all new starters
- Conduct client and candidate follow-ups throughout the onboarding process
Email & Communication Management
- Manage shared inboxes for Melbourne and Adelaide operations across both Dnata and Gate channels
- Respond to and triage queries in a timely and professional manner
- Send weekly communications to all staff
Rostering & Workforce Coordination
- Maintain and manage the Named Roster and Gate roster (on/off management)
- Liaise with the Workforce Planning (WFP) team, Leading Hands, and P&C to coordinate rosters and respond to demand changes
- Support ad hoc workforce management requests as they arise
Compliance & Database Management
- Maintain accurate and up-to-date records across all systems and databases
- Ensure all staff documentation and compliance requirements are current
- Oversee MLZ training management and track completion
Reporting
- Produce and distribute regular reports including Exit Reports, No-Show Reports, Attendance Reports, and Leave Reports
- Identify and escalate trends or issues as needed
Payroll Support
- Assist payroll processing by resolving pay queries from staff
- Act as a first point of contact for payroll-related questions and escalate where necessary
Afterhours Handover
- Prepare and conduct structured handovers to the afterhours team to ensure continuity of operations
What We're Looking For
- Experience working for a labour hire or high-volume recruitment agency is a must
- Proven ability to work independently with minimal supervision and take ownership of your responsibilities
- Must be able to perform under pressure in a fast-paced, high-demand environment
- Strong organisational skills with the ability to manage multiple tasks across two locations simultaneously
- Excellent written and verbal communication skills
- High attention to detail, particularly around compliance documentation and data accuracy
- Comfortable working with rosters, databases, and reporting tools
- Familiarity with Dnata, Gate operations, or airport environments is a strong advantage
