The organization is seeking a highly skilled operational partner to serve as its Process & Performance Specialist, acting as the core operational engine that translates executive strategy into efficient and effective daily operations. Reporting to the Operations Strategist, this hybrid role integrates systems oversight, data analytics, documentation management, and project coordination.
Core Functions
1. Systems Support & Vendor Coordination
- Serve as an internal SME for the Electronic Health Record (EHR) system, translating agency needs into vendor requests and maintaining clear internal How‑To documentation.
- Manage centralized ticketing systems across Operations, IT, EHR, and Facilities, ensuring proper routing and resolution within SLAs.
- Monitor vendor responsiveness and support patterns to identify recurring issues and operational bottlenecks.
2. Data Analytics & Reporting
- Routinely run and audit operational reports to uncover trends, anomalies, productivity gaps, or early performance risks.
- Convert complex data into concise, digestible executive summaries for leadership decision-making.
3. Documentation & Knowledge Management
- Capture leadership decisions and formalize them into clear Standard Operating Procedures (SOPs).
- Oversee the Google Workspace environment, including permission structures, intranet maintenance, and training content via Google Notebooks or LMS tools.
4. Project Coordination & Accountability
- Manage the full meeting lifecycle—agendas, minutes, follow‑ups—and enforce accountability for deadlines.
- Conduct executive-level research and execute specialized tasks to support strategic projects from concept to completion.
Key Qualifications
- 3 to 5 years of experience in operations, systems management, data analytics, or a related role.
- High-level data proficiency in Excel/Google Sheets, capable of building custom analytical tools.
- Strong communication translator abilities to bridge technical and clinical/operational needs.
- Advanced expertise in Google Workspace, especially in information architecture and permission management.
- Proactive problem solver who recommends solutions, not just reports issues.
- Highly organized, disciplined in digital filing, version control, and project tracking.
- Okay to work onsite in Eastwood, Quezon City
