About the Role

Were looking for a highly organized and proactive Service Coordinator to join our team and manage the behind-the-scenes flow of our custom glass projects from design approval to installation.

This is not a glass-cutting or field role, its about keeping every job on track by managing communication between our design, production, accounting, and install teams. Youll be responsible for tracking job details, identifying missing parts or documentation, confirming measurements and specs, and ensuring nothing falls through the cracks before we send a crew out to a home.

What Youll Do

  • Coordinate all service-related admin for custom glass projects
  • Review job files, designs, and drawings to ensure accuracy before scheduling
  • Track missing parts, hardware, or changes and communicate with production or accounting as needed
  • Serve as the point of contact between office, field crews, and vendors for updates and clarifications
  • Schedule installations and service work, ensuring installers are fully prepared
  • Maintain organized documentation for each project (designs, approvals, part orders, etc.)
  • Assist with customer updates and follow-ups on scheduling or rescheduling
  • Work closely with accounting to flag job changes that affect billing
  • Update project management or scheduling systems (e.g., Asana, Excel, PDFs)
  • Be proactive when work is slow look ahead for missing info, gaps, or delays to solve early
  • What Were Looking For
  • 2+ years in a service coordination, scheduling, or administrative support role
  • Experience managing logistics or projects with multiple moving parts
  • Comfortable reading job specs, work orders, and digital drawings
  • Tech-savvy with Microsoft Office, Excel, PDFs; familiarity with Asana a plus
  • Strong communicator written, verbal, and follow-up
  • Highly organized and able to juggle competing tasks without letting things drop
  • Construction or trades experience is a plus, but not required
  • Most importantly: You care about doing things the right way and keeping the team informed
