Job Title: Project Coordinator
Location: Jacksonville, FL
Salary: $60,000–$70,000 annually

ABOUT THE ROLE

We are seeking a highly organized and detail-oriented Project Coordinator to support our residential construction projects from early design through completion. This role works closely with the Director of Estimating and Design and serves as a critical link between design, purchasing, and construction.

The Project Coordinator keeps projects organized, information flowing, and timelines moving forward. This position is ideal for someone who enjoys bringing structure to complex projects, following details through to completion, and keeping teams aligned in a fast-paced, custom residential environment.

RESPONSIBILITIES

Purchasing & Project Documentation

  • Create, issue, and track purchase orders for materials, fixtures, and finishes
  • Order materials based on approved selections and project schedules
  • Review invoices for accuracy and enter them into the system for approval
  • Assist with reviewing scopes of work to ensure details are complete and accurate

Design & Project Support

  • Maintain and update project specification sheets as selections evolve
  • Organize and manage client sample bins to ensure materials are readily available
  • Assist with AutoCAD drawings and design documentation as needed
  • Support Matterport scans and maintain accurate site documentation

Buildertrend & Systems Management

  • Upload, organize, and maintain project documents in Buildertrend
  • Track client approvals for selections, change orders, and materials
  • Ensure QR codes and Buildertrend files reflect current information
  • Review meeting notes and Plaud notes and convert them into actionable tasks
  • Maintain construction and design checklists and assist with scheduling support

Communication & Coordination

  • Communicate professionally with team members, vendors, subcontractors, and clients
  • Proactively identify missing information and follow up to keep projects moving
  • Support multiple projects across both design and construction phases

QUALIFICATIONS

  • Strong written and verbal communication skills
  • Exceptional organizational skills and attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Self-motivated, dependable, and comfortable working independently
  • Ability to understand design intent and translate it into organized, build-ready information
  • Experience with Buildertrend is a plus (training provided)
  • AutoCAD experience and residential construction knowledge are helpful but not required
