About the Role
We are seeking a highly organized Project Coordinator to support residential construction projects from early design through completion. This role works closely with the Director of Estimating and Design and plays an important role in keeping projects organized, information accurate, and timelines moving forward.
The Project Coordinator serves as a key link between the design, purchasing, and construction teams. This position is ideal for someone who enjoys managing details, coordinating moving parts, and bringing structure to complex custom home projects.
Key Responsibilities
Purchasing & Project Documentation
- Create, issue, and track purchase orders for materials, fixtures, and finishes
- Order materials based on approved selections and project schedules
- Review invoices for accuracy and enter them into the system for approval
- Assist with reviewing scopes of work to ensure details are complete and accurate
Design & Project Support
- Maintain and update project specification sheets as selections evolve
- Organize and manage client sample bins to ensure materials are readily available
- Assist with AutoCAD drawings and design documentation when needed
- Support Matterport scans and maintain accurate site documentation
Buildertrend & Systems Management
- Upload, organize, and maintain project documents in Buildertrend
- Track client approvals for selections, materials, and change orders
- Ensure QR codes and Buildertrend files reflect the most current information
- Convert meeting notes and Plaud notes into clear, actionable tasks
- Maintain project checklists and assist with scheduling coordination
Communication & Coordination
- Communicate professionally with team members, vendors, subcontractors, and clients
- Identify missing information and follow up to keep projects moving forward
- Support multiple projects across both design and construction phases
Qualifications
- Strong written and verbal communication skills
- Excellent organizational skills and attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Self-motivated, dependable, and comfortable working independently
- Ability to interpret design intent and translate it into organized project documentation
Preferred (not required):
- Experience with Buildertrend
- AutoCAD experience
- Residential construction knowledge
