Executive Assistant

 Job Description:

This is a remote, part-time role supporting a U.S.-based client in the liquor retail and property management industries. The client owns and operates a liquor store and oversees multiple residential rental properties. The business is fast-paced and requires proactive support in both administrative and operational areas to stay organized and on top of recurring tasks.

Key Responsibilities

  • Manage and categorize scanned mail and digital correspondence

  • Track and monitor bill due dates; send reminders, initiate payments, and confirm on-time payment
  • Maintain accurate financial records using QuickBooks or Peachtree

  • File and organize digital documents using Hubdoc or similar software

  • Use Microsoft Excel and Word to assist with documentation and record-keeping
  • Coordinate property management tasks, including sending bills, tracking rent payments, and communicating with contractors (e.g., plumbers, maintenance workers)
  • Draft and proofread emails for clarity and professionalism

  • Assist with booking travel, conducting personal shopping, and researching service providers
  • Generate monthly Profit & Loss (P&L) statements

  • Send weekly reminders for appointments and daily reminders for tasks and deadlines

Requirements

  • Strong organizational skills and attention to detail

  • Experience managing administrative tasks remotely

  • Prior experience with bookkeeping and financial software (e.g., QuickBooks or Peachtree)
  • Excellent written and verbal communication skills

  • Reliable and proactive with a strong sense of accountability

Nice to Have
  • Familiarity with Hubdoc or similar digital filing systems

  • Experience coordinating with property contractors

  • Background in retail or property management industries

  • Excellent Ms Excel proficiency

Schedule & Hours

  • Part-time: 10 hours per week

  • Flexible hours, but must be available for time-sensitive reminders and tasks during U.S. business hours

Pay Range
