We are seeking a proactive, detail-oriented, and highly professional Executive Assistant based in South Africa to support a U.S.-based executive coach, speaker, and workshop facilitator. This is a unique opportunity to work closely with a purpose-driven leader operating in the high-performance coaching space.
The ideal candidate will not only manage day-to-day operations but also needs business development and client facing experience.
Key Responsibilities
Executive Support:
- Manage a dynamic calendar and schedule meetings across time zones.
- Handle inbox management, email drafting, and correspondence on behalf of the executive.
- Coordinate travel, events, and virtual speaking engagements.
Client Relationship & Experience:
- Ensure a high-touch client experience with attention to detail, confidentiality, and professionalism.
- Support relationship-building efforts, including personalized gifting and thoughtful client follow-ups.
- Represent the executive with warmth and professionalism in all communications.
Business Development Support:
- Assist with CRM and sales pipeline tracking (HubSpot/Airtable).
- Prepare email outreach campaigns and assist with basic marketing automation.
- Identify and suggest opportunities for lead generation and service improvement.
Systems & Tools:
- Work within tools like Asana, Airtable, HubSpot, and Gmail/Google Workspace.
- Create and manage internal processes and SOPs to support efficiency.
- AI & Tech Fluency:
- Leverage tools like ChatGPT and other AI platforms to streamline workflow.
- Open to learning and applying new technologies to increase productivity and value.
Ideal Candidate
Experience:
- 3-5+ years in an Executive Assistant or Operations Support role.
- Prior experience in a coaching, consulting, or professional services firm is a plus.
- Strong knowledge of project management and CRM systems.
- Must have client facing experience
- Must be based in South Africa

Additional Information:
- Salary: R7 000 - R8 500
- Commitment: Part-time to start (20 hours/week), with potential to scale to full-time based on performance.
- Tools: Gmail, HubSpot, Airtable, Asana, Mailchimp (or similar), ChatGPT.
