We are seeking a proactive, detail-oriented, and highly professional Executive Assistant based in South Africa to support a U.S.-based executive coach, speaker, and workshop facilitator. This is a unique opportunity to work closely with a purpose-driven leader operating in the high-performance coaching space.

The ideal candidate will not only manage day-to-day operations but also needs business development and client facing experience.

Key Responsibilities

Executive Support:

  • Manage a dynamic calendar and schedule meetings across time zones.
  • Handle inbox management, email drafting, and correspondence on behalf of the executive.
  • Coordinate travel, events, and virtual speaking engagements.

Client Relationship & Experience:

  • Ensure a high-touch client experience with attention to detail, confidentiality, and professionalism.
  • Support relationship-building efforts, including personalized gifting and thoughtful client follow-ups.
  • Represent the executive with warmth and professionalism in all communications.

Business Development Support:

  • Assist with CRM and sales pipeline tracking (HubSpot/Airtable).
  • Prepare email outreach campaigns and assist with basic marketing automation.
  • Identify and suggest opportunities for lead generation and service improvement.

Systems & Tools:

  • Work within tools like Asana, Airtable, HubSpot, and Gmail/Google Workspace.
  • Create and manage internal processes and SOPs to support efficiency.
  • AI & Tech Fluency:
  • Leverage tools like ChatGPT and other AI platforms to streamline workflow.
  • Open to learning and applying new technologies to increase productivity and value.

Ideal Candidate

Experience:

  • 3-5+ years in an Executive Assistant or Operations Support role.
  • Prior experience in a coaching, consulting, or professional services firm is a plus.
  • Strong knowledge of project management and CRM systems.
  • Must have client facing experience 
  • Must be based in South Africa

Additional Information:

  • Salary: R7 000 - R8 500
  • Commitment: Part-time to start (20 hours/week), with potential to scale to full-time based on performance.
  • Tools: Gmail, HubSpot, Airtable, Asana, Mailchimp (or similar), ChatGPT.
