Executive Assistant

 Job Description:

We are seeking an accomplished and highly organized Executive Assistant to provide a comprehensive Personal Assistant service to the Directors. This is a busy role, and the successful post-holder must have a desire to learn and fully understand the role of the Directors and their work.

The ideal candidate will need to be an adept problem-solver and an organizational expert given the complex calendar management and travel planning involved. We are looking for an efficient, self-starter with an ability to operate effectively in a fast paced, ever-changing environment. 

Key Responsibilities

Executive Support:

  • Deliver high-level administrative support to the Directors, including complex diary management, scheduling, and coordination of meetings.
  • Act as a primary point of contact, managing incoming correspondence, screening communications, and prioritising urgent matters.
  • Prepare high-quality reports, presentations, and briefing materials for internal and external engagements.
  • Facilitate board and senior leadership meetings, including agenda preparation, minute-taking, and follow-up on action points.
  • Maintain strict confidentiality and exercise sound judgment in handling sensitive business information.

Stakeholder Engagement & Communication:

  • Serve as a professional liaison between the Directors and key internal and external stakeholders, ensuring effective communication and relationship management.
  • Draft, proofread, and manage correspondence, reports, and presentations with accuracy and attention to detail.
  • Represent the Directors with professionalism in interactions with clients, senior executives, and business partners.

Business Support:

  • Provide assistance with strategic initiatives, special projects, and research assignments as required.
  • Support business development efforts by coordinating client interactions and assisting with event planning.
  • Monitor critical deadlines and proactively follow up on outstanding tasks to ensure timely execution.
  • Ad-hoc tasks as instructed by Directors.

Skills, Knowledge, and Experience:

  • Significant experience in a Personal Assistant, Executive Assistant, or similar role within a professional services environment.
  • Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and business management tools.
  • Demonstrated ability to manage multiple priorities, work under pressure, and meet tight deadlines.
  • Outstanding written and verbal communication skills, with a professional and polished approach.
  • A high level of confidentiality and ethical conduct in handling sensitive corporate matters.
  • Proactive & problem-solving mindset with the ability to anticipate needs, identify solutions, and act with initiative and sound judgment.
  • Ensure excellent customer service for both internal and external customers.
