Our System Administration Department is looking for a proactive, detail-oriented, and tech-savvy Technical Operations Coordinator to strengthen internal processes, manage service providers, support financial workflows, and ensure smooth cross-team operations.
This is a high-impact role at the core of our daily operations, combining task management, procurement, domains administration, and collaboration with multiple departments. You’ll also have opportunities to contribute to new projects and grow with full support from the company.
Responsibilities:
Operations & Process Management
- Collaboration in organization operational workflows and ensuring smooth execution across teams.
- Maintain internal SOPs and documentation together with department leads.
- Analyze workflows and propose process optimizations.
- Prepare regular progress and performance reports.
- Handle cross-department administrative requests.
Domains Management
- Full-cycle domain administration: registration, purchasing, renewals, negotiations.
- Coordinate with Legal and managers regarding ownership changes and required documentation.
- Manage domain transfers, brokers, and handle abuse cases.
- Maintain domain billing and verification processes.
- Add new domains to internal SEO systems and ensure accuracy of domain-related data.
- Structure and oversee domain account organization and access.
Vendor & Procurement Management
- Lead negotiations with service providers and coordinate communication between vendors and internal tech/operations teams.
- Handle incoming service purchase requests, manage approvals, negotiate terms with managers.
- Manage accounts and subaccounts across tools, platforms, and services.
- Review service usage, support cost optimization initiatives, and identify saving opportunities.
- Oversee billing workflows: maintain payment calendars, process invoices, resolve billing issues, manage payment methods.
- Track spending and prepare data for financial reporting.
- Manage outsource contracts, agreements, payments, and vendor relationships.
Experience:
- 2+ years in Operations, Administration, or Project/Support Coordination.
- Strong facilitator with excellent organizational and prioritization skills.
- Exceptionally structured, detail-oriented, and process-driven.
- Confident in multitasking and managing cross-team workflows.
- Skilled with workflow automation.
- Understands business processes and how to document and systematize them.
- Skillful user of Jira, Google Sheets; quick to adopt new tools.
- Ownership mindset: able to identify tasks in problems and drive solutions.
- English: B1+.
- Technical background is considered a plus.
