Summary
Position Summary:
Performs an array of executive level administrative support for a SJI Renewable Energy Ventures LLC leadership team. Must possess exceptional organizational skills and have a keen attention to detail operating in a work environment which requires substantial multitasking. Given the nature of this role, the Executive Assistant must demonstrate professionalism at all times and be able to exercise good judgment in a variety of situations where there may be ambiguity.
Typical administrative responsibilities include maintaining schedules, coding invoices, and providing support to all leaders. This role also involves assisting with meeting scheduling, calendar management, coding expenses in internal systems, and leveraging Workday experience.
Visit Mt. Laurel, New Jersey location 2 to 3 times in a week
3 months contract with possible extension
Responsibilities
- Formal education beyond the secondary level (administrative or business) is highly recommended.
- Proven experience effectively interacting with executives to include corporate officers and directors is strongly recommended.
- Demonstrated skills in project management and administrative areas such as, typing, filing systems, office equipment, administrative process, etc.
- Prior experience working in confidential environment with a professional demeanor is required.
- Knowledge of PC-based applications, specifically Outlook, Word, Excel and Power Point is required and prior experience with Workday preferred.
- Strong organizational skills and detail oriented.
- Experience with Board meeting preparation and interaction with Board of Directors.
- Ability to work independently in a fast paced environment with limited supervision.
- Demonstrated ability to work under time constraints and available as needed.

Essential Duties and Responsibilities:
· Manages calendar and scheduling of appointments and meetings, expense reporting, preparation of presentation materials.
· Applies substantial knowledge in the coordination of sensitive reports and materials (i.e., budgets, board materials and highly confidential correspondence).
· Coordinates travel arrangements (hotel/air/car reservations, etc.) as needed.
· Prepare, code, and submit expense reports and other delegated tasks for executives via Workday in a timely manner.
· Provides office support at Mt. Laurel, New Jersey location to order/stock supplies, manage mail, and act as the primary point of contact for internal/external stakeholders.
· Creates presentations and materials in preparation for Board/other meetings.
· Prepares and maintains confidential files, statistical records, correspondence and other miscellaneous office forms.
· Answers and initiates email and telephone inquiries; refers inquiries to supervisor and other departments as necessary.
· Prepares special reports and summaries as required.
· Performs other administrative duties as directed.
· Perform duties inherent in all supervisory, professional and administrative positions. Consistent with all positions in this classification, additional projects, tasks and/or duties beyond what is outlined here may be assigned as required.
