Quick Rundown:
We're looking for a proactive and detail-oriented Medical Scheduler to support the day-to-day operations of a U.S.-based home healthcare provider. This role is ideal for someone with experience in customer service, scheduling, and virtual assistant support—particularly in healthcare or service-based environments.
You will play a critical role in ensuring clients receive prompt and compassionate service, caregivers are scheduled appropriately, and internal operations run smoothly. This position also includes supporting after-hours on-call operations to ensure continuous care and service coverage.
What You'll Do:
Serve as a primary point of contact for client and caregiver inquiries
Schedule caregivers for patient visits and adjust assignments as needed
Communicate with caregivers, clients, and office staff to confirm availability, resolve issues, and ensure care continuity
Update schedules in real-time using the agency's scheduling software (AlayaCare)
Assist in filling open shifts and proactively support coverage needs, including call-outs and last-minute changes
Provide on-call support outside standard business hours, addressing urgent scheduling and client care needs
Follow up on client satisfaction and service delivery concerns
Provide administrative support to the operations team, including data entry, file management, and documentation
Assist with timesheet tracking, attendance monitoring, and shift updates
Ensure compliance with client care plans and scheduling protocols
Manage sensitive information with confidentiality and discretion
Support recruitment and onboarding efforts as needed (e.g., checking references, scheduling interviews)
What We're Looking For:
At least 2 years of experience as a Virtual Assistant or Customer Support Specialist
Prior experience in scheduling, administrative support, or healthcare-related work
Experience with AlayaCare or similar scheduling/CRM platforms (preferred)
Excellent spoken and written English communication skills
Strong organizational skills and attention to detail
Familiarity with tools like Google Workspace, Zoom, Slack, or similar platforms
Reliable internet connection and ability to work independently during US hours
Strong customer service mindset with the ability to manage multiple priorities calmly and professionally
Willingness to participate in on-call rotations and provide after-hours support.
