Position Title: HR Associate

Classification: Associate 

Salary Grade: 13000 - 16000 Peso / month 

Reports To: People Management Manager 

Primary Relationships: Clark Outsourcing Internal Team 

Date: June 2021 

Schedule: Day Shift (9:00am to 6:00pm) (Office Based)

Background: 

As an HR Associate you will perform a variety of administrative and clerical tasks. Duties and responsibilities of the HR Associate includes the whole process of Corrective and Disciplinary Action, Evaluations and Offboarding of employees. HR Associate will also be required to participate, collaborate with your own team on employee engagement programs, and special projects assigned by the People Management Manager. 

Responsibilities:


  • Monitor and Facilitate the whole process of Corrective and Disciplinary Action, Evaluations and Offboarding of employees. 

  • Handling Incident Reports raised on Trello, issuance of NTE, administering admin hearing, and serving NODs. 

  • Updating process based on the labor updates 

  • Attending hearings and legal proceedings in NLRC or SENA and City hall to represent the company. Evaluation 

  • Issuance of Self-Evaluation Templates to employees at least 1-month and week prior due date. Making follow-ups regarding eval and sending the accomplished Self-Eval and Manager’s Eval to the AM and updating Trello once the Client feedback is available.


Offboarding:


  • Processing of Offboarding an employee whether through resignation or terminations.

  • Explaining and coordinating the exit clearance process to employees as well as assisting them when releasing final pay and issuance of documents and other requests. 

  • Initiating Employee Exit Interviews personally or virtually.

  • Responsible for Clearance of Eligibility to get re-hired. 

  • Submission of Establishment Report in DOLE Online Establishment Report System for Terminated and Laid Off Employee the 30 days before their Termination if possible. 

Other responsibilities: 

  • Preparation of Lay off Letters, Termination Letters, Notice of Reduced Work hours/days, suspension letters and other letters relating to employee performance etc. 

  • Weekly Management of the Employee Attrition Report 

  • Updating People Management Trello Boards related to your main responsibility Daily

  • Collaborate and assess employees needs by conducting organizational , climate surveys in collaboration with the People Management Manager and assisting in designing, improving, recommending new ideas that are aligned with the company’s culture, business goals and strategy. 

  • Participate, collaborate with your own team on employee engagement programs, and special projects assigned by the People Management Manager. 

  • Regularly attends departmental and/or project meetings as required. 

  • Complete tasks delegated/assigned by the People Management Manager 

  • Perform other reasonable duties as required. 

Requirements: 

  • Excellent English language skills (written and verbal) 

  • Proactive and willing to be trained 

  • Good time management and task management skills 

  • Proficiency in MS Office and Google Suite 

  • Proficient computer and technical skills 

  • Able to demonstrate initiative 

  • Attention to detail (required) 

  • Strong organizational skills with the ability to multitask 

  • Ability to keep confidential information 

  • Willing to adopt a fast-paced working environment.
