Quick Rundown:
We are looking for a detail-oriented and proactive Administrative Assistant to support the Office Management Facilities Division. This role plays a key part in maintaining the smooth operations of administrative and facilities-related tasks, ensuring compliance with internal procedures, and supporting day-to-day operational needs. The ideal candidate is highly organized, dependable, and capable of handling multiple administrative duties in a fast-paced and dynamic office environment.
What You'll Do:
Provide administrative support to the Facilities Division, including documentation, recordkeeping, and report preparation.
Assist in monitoring office supplies, maintenance requests, and inventory tracking.
Coordinate with vendors and service providers for scheduled maintenance, repairs, and deliveries.
Support the scheduling and documentation of daily walkthrough reports and inspection checklists.
Help ensure office compliance with safety, cleanliness, and facility standards.
Maintain updated records of contracts, invoices, and billing documents related to facility operations.
Serve as a point of contact for internal staff requests related to office facilities and escalate as needed.
Support coordination of logistics for minor renovations, repairs, and office setups.
Assist with audit documentation and compliance tracking.
Perform other administrative tasks as assigned by the Facilities Supervisor or Office Management leadership.
What Were Looking For:
Bachelors degree in Business Administration, Office Management, or any related field preferred.
At least 1 year of experience in administrative or facilities support roles is an advantage.
Strong organizational and time management skills.
Effective communication and interpersonal skills.
Proficient in Microsoft Office and Google Workspace applications.
Ability to manage multiple tasks and prioritize effectively.
Detail-oriented and able to work independently or as part of a team.
Willing to work flexible hours, including evenings, when necessary.
