Position Title: Executive Assistant

Classification: Associate

Salary: 30,000-40,000 a month

Reports to: Client

Primary Relationship: Client Team

Date: July 2022

Schedule: 9AM - 5PM UK TIME

Responsibilities:

  • Create & Set up Initial, General and Complimentary Packs for the Week
  • Send Letters of Authority via email to providers
  • Chase Letters of Authority information through
  • Request Fund Backtesting from TP
  • Complete RAF (cost analysis & comparison)
  • Client updates for CBMs (Send to CBM to approve and send)
  • Chase Clients (Send to CBM to approve and send)
  • Chase providers
  • Deal with Activities delegated to them from UK Team
  • Attend CBM huddle on Wednesday mornings
  • Create estate planning visual slides for compliance approval SB to train
  • Monitor Leadership Teams email accounts deal with their junk emails and triage what is left
  • Receive training from Steve regarding basic principles of English law and estate planning services, we provide
  • Complete and pass SWW online training course
  • Takeover in full as CBMs for estate planning to include producing the Wills and lasting powers of attorney on our software system
  • To provide the bespoke recordings for draft will checking
  • Attend advisor meetings and create meeting notes as meeting happens, agree key tasks
  • with advisor straight after meeting, create suggested PML for advisor sign
  • off, save notes immediately to client file
  • Create basic cases on CW to include Wills & LPAs

Requirements:

  • Excellent written and spoken English
  • Need to mirror 9am-5pm UK workday for minimum first 4 weeks of training and then can have flexible time / working hours
  • Ability to work independently, with limited required direction and guidance (of course, you will be trained and you will learn the style of your client before you're moved to independent mode!)
  • Display professional communication via phone, text, and email
  • Organize and scheduling meetings and appointments
  • Phone management (inbound and outbound)
  • Excellent English language skills (written and speaking)
  • Good time management and task management skills
  • Noticeable organizational and prioritization skills
  • Ability to work independently and meticulously
  • Proficiency in MS Office and Google Suite
  • Able to demonstrate initiative
