Position: Executive Assistant (Finance)

Salary: 25,000 - 35,000 PHP a month

Reports To: Finance Director , Executive Operations Manager

Primary Relationships: Internal Team

Schedule: 10:00 AM - 7:00 PM PHT

Summary:

Provide exceptional administrative, scheduling, and project support to the Finance Director, ensuring the smooth operation of their office and efficient use of their time. Act as a confidential point of contact and liaison between the Director and internal/external stakeholders.


Responsibilities:


  • Manage the Director's calendar, scheduling appointments, meetings, and travel arrangements

  • Ensure timely confirmations and reminders are sent for all appointments

  • Arrange travel logistics, including flights, hotels, and ground transportation

  • Manage expense reports and ensure proper documentation for reimbursements

  • Act as the primary point of contact for the Director, screening and directing phone calls, emails, and inquiries

  • Compose and proofread a variety of correspondence, including emails, letters, reports, and presentations, ensuring clarity, conciseness, and professionalism

  • Maintain a well-organized filing system for all physical and electronic documents

  • Draft agendas and take detailed minutes during meetings, ensuring all key points and action items are captured

  • Assist the Director with project planning and execution, prioritizing tasks and managing deadlines

  • Conduct research, compile data, and prepare reports as required by the Director

  • Follow up on outstanding matters and ensure timely completion of tasks

  • Maintain a comprehensive knowledge of the Director's projects and responsibilities to anticipate needs and proactively provide support

  • Liaise with other departments on behalf of the Director

  • Perform other administrative duties as assigned, maintaining a high level of professionalism and confidentiality

Qualifications:


  • Bachelor's degree in Business Administration, Finance, or a related field (preferred)

  • Minimum 1-3 years of experience as an Executive Assistant or similar role

  • Strong organizational, time management, and prioritization skills

  • Excellent communication, interpersonal, and writing skills

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

  • Ability to work independently and take initiative

  • Strong attention to detail and a commitment to accuracy

  • Discretion and ability to maintain confidentiality

  • Experience with financial software or accounting principles (a plus)
