Position Title: Sourcing and Logistics Coordinator (Project-Based)

Quick Rundown:
The Sourcing and Logistics Coordinator plays a key role in supporting the Sales and Product Development teams by managing the end-to-end sourcing process, preparing quotations, coordinating with suppliers, and overseeing logistics and sample management. This role ensures accurate, timely, and cost-effective product development and delivery, while maintaining strong communication across internal teams and external partners.
What You'll Do:
- Sourcing & Quotation Management
Receive and review product briefs from Sales/Product Development via email or Monday.com.
Prepare accurate Quotation Request Forms (QRFs) using Mercury or equivalent system.
Research new products and suppliers when needed using platforms like Alibaba.
Submit QRFs to designated suppliers and follow up on quotations, especially for urgent requests.
Update internal tracking tools (e.g., Monday.com) and communicate quotation status to requestors.
- Supplier Communication
Liaise with suppliers to clarify product specs, pricing, and licensor compliance requirements.
Maintain clear and professional email communication and track supplier responses.
Ensure all supplier queries are addressed before final costing is submitted.
- Sample & Photo Management
Request product samples upon Sales request for material, design, and quality checks.
Coordinate with the supplier and the photo studio for sample photography.
Review and upload high-resolution images to Box and notify relevant teams.
Manage photo reshoots if needed and follow up with finance (e.g., ZINC AU) for unpaid photography services.
- Shipping & Logistics Coordination
Book shipments primarily for US-bound products using approved forwarders.
Prepare and verify pre-packing lists, invoices, VGM, and packing lists with suppliers.
Submit booking forms and ensure documents are submitted ahead of cut-off dates.
Review and confirm Bills of Lading and relay to Sales teams.
Monitor shipment status and proactively communicate delays or issues to Sales.
Request Onboard BLs and Telex Release documentation from forwarders and share with stakeholders.
What Were Looking For:
At least 2 years of experience in sourcing, procurement, or logistics coordination.
Strong organizational and multitasking skills with attention to detail.
Experience working with supplier communication and international shipping preferred.
Familiarity with project management and documentation tools (e.g., Monday.com, Box, Teams).
Proficient in Microsoft Excel, Google Docs, and email communication.
Experience with systems like Mercury is a plus.
