Position Title: Real Estate Virtual Assistant
Salary Grade: 35,000 - 42,000 PHP a month
Reports To: Client Advisor, Client
Primary Relationships: Client Team
Date: May 2023
Schedule : 9:00 PM to 6:00 AM PHT

Responsibilities:

  • Answer incoming calls in a professional and friendly manner, ensuring a positive customer experience

  • Capture and upload detailed information for property inquiries and general listing inquiries to the company's CRM system (e.g., Monday.com)

  • Gather and record essential information such as name, contact number, email address, address of the listing inquiry, interest in purchasing or leasing, specific leasing requirements, and lead source

  • Screen calls and route them to the appropriate person or department as necessary.

  • Take accurate messages and relay them promptly to the relevant individuals or departments

  • Compose and send emails on behalf of the commercial real estate brokerage company, maintaining a professional tone and style

  • Provide callers with general information about properties, addressing their queries and concerns to the best of your ability

  • Capture customer needs effectively through phone or chat interactions, demonstrating strong listening and problem-solving skills

  • Maintain a pleasant and polite demeanor when interacting with clients, ensuring a high level of professionalism and customer satisfaction


Requirements:

  • Proven experience in a customer service or receptionist role, preferably in the commercial real estate industry

  • Excellent verbal and written communication skills, with the ability to convey information clearly and concisely

  • Strong understanding of the commercial real estate industry, including property types, leasing, and purchasing processes

  • Familiarity with using CRM systems (e.g., Monday.com) or similar platforms for capturing and managing customer information

  • Proficiency in technology tools such as Google Maps, MS PowerPoint, or Google Slides, with the ability to utilize them effectively for various tasks

  • Exceptional customer service skills, with a focus on providing personalized and efficient assistance to clients

  • Ability to work in a fast-paced environment, managing multiple tasks and priorities simultaneously

  • Strong attention to detail and accuracy in recording and relaying information

  • Professional and pleasant phone etiquette, with the ability to remain calm and composed during challenging situations

  • Reliable and punctual, demonstrating a strong work ethic and commitment to meeting job requirements
