Position Title: Order Entry Specialist

Schedule: 9:00 PM to 6:00 AM PH Time

Job Location: Clark Outsourcing - Building 35 Philexcel Business Park, Clark Pampanga

Quick Rundown:

We are seeking a proactive and detail-oriented Order Entry Specialist to support our clients and internal production team. This role plays a critical part in managing order details, coordinating artwork-related requests, and ensuring smooth communication between clients and the Artworker/Digitizer.

The ideal candidate thrives in a fast-paced environment, is highly organized, and can confidently handle client interactions while managing internal coordination with accuracy and efficiency

What Youll Do:

  • Client Communication
    • Serve as the primary point of contact for clients regarding order entry and artwork requests

    • Receive and clarify order specifications, timelines, branding requirements, and product details

    • Provide timely updates on artwork proofs, production status, and delivery schedules
    • Communicate any revisions, feedback, or additional requirements from the client to the Artworker
  • Order Entry & Task Management
    • Accurately enter new orders and artwork jobs into the system

    • Review and validate all job details to ensure completeness before submission to the Artworker

    • Track order status and manage timelines to meet delivery deadlines

    • Coordinate approvals and ensure all documentation is updated and archived properly

  • Internal Collaboration
    • Work closely with the Artworker/Digitizer to relay artwork specs, revisions, and client expectations

    • Follow up on design progress and proof readiness

    • Ensure clear and prompt communication between internal and external stakeholders

    • Assist in prioritizing tasks based on order urgency and client deadlines


What Were Looking For:

  • 1-3 years of experience in customer service, order entry, or account coordination

  • Familiarity with the promotional products or apparel industry is preferred

  • Strong understanding of product customization workflows (artwork, embroidery, etc.)

  • Excellent written and verbal communication skills

  • High attention to detail and accuracy in data entry

  • Experience using order management or CRM systems is a plus
