Position Title: Medical Virtual Assistant

Schedule: 10:00 PM to 7:00 AM PH Time

Quick Rundown:
We are seeking a highly organized and detail-oriented Medical Virtual Assistant to support our medical practice with scheduling, patient communication, insurance verification, and EMR maintenance. The ideal candidate has strong customer service skills, solid knowledge of medical terminology and insurance processes, and the ability to manage clinical documentation while maintaining strict HIPAA compliance.
What You’ll Do:
Scheduling & Patient Coordination
Fill open appointment slots and assist with scheduling new patients
Ensure patients are scheduled appropriately based on conditions treated and practice specialty
Communicate with patients via phone, text, and written messages with professionalism and empathy
Offer cash pricing when the practice is out-of-network
Understand and process payments using HSA and FSA cards
Insurance & Eligibility
Collect insurance information and determine in-network vs. out-of-network status
Verify patient eligibility and benefits
- Demonstrate a strong understanding of:
Medicare
Medicare Advantage
Medicaid
Government payors (TriCare, ChampVA)
Commercial insurance payors
Clinical & EMR Support
Prepare charts prior to patient visits
Ensure all labs and imaging results are received, merged, and properly documented
Follow up on records requested during previous visits
Delete duplicate medications and clean up problem lists
- Perform ongoing EMR maintenance, including:
Lab reconciliation
Managing fax inbox/outbox and failed faxes
Managing failed prescriptions and NDC reconciliation (nursing or pharmacy background preferred)
Documentation & Compliance
Manage medical documents within eClinicalWorks (PDF, TIFF formats)
Maintain HIPAA compliance when sending and receiving medical records
Assist with documentation management and organization
Specialty Support
Assist with prior authorizations (PA) and patient assistance programs for specialty medications (e.g., Tandem)
Communicate with patients to ensure they receive prescribed medications
Assist with handling denial letters and appeals (as assigned)
What We’re Looking For:
Previous experience as a Medical Virtual Assistant, Medical Office Assistant, or similar role
Experience with EMR systems (eClinicalWorks preferred)
Nursing or pharmacy background (a plus for prescription reconciliation tasks)
Experience with prior authorizations and specialty medications
Excellent telephone presence with strong texting, writing, and customer service skills
Solid understanding of medical insurance processes and terminology
Familiarity with medical conditions and terminology
Knowledge of HIPAA compliance standards
Ability to learn and use:
