The Finance Administrator provides administrative support to the Finance team, primarily in the areas of Payroll and Accounts Payable.

Purpose

As a Finance Officer, you will:

  • Ensure all payroll and accounts payable activities are completed accurately and on time.
  • Ensure compliance with all relevant Australian payroll laws, regulations, and industry standards.
  • Provide prompt and clear support to employees & suppliers regarding enquiries and concerns, fostering trust and satisfaction.

As a Finance Officer, your tasks may include:

Payroll Duties>

  • Ensure accurate and timely processing of payroll for all employees, including salary, wages, bonuses, and benefits.
  • Process payroll based on approved timesheets.
  • Audit Bullhorn placements to ensure data meets requirements for payroll processing (Astute).
  • Create the outstanding approvals list and share it to consultants for timesheet chasing (Astute).
  • Resolve payroll queries as allocated in a timely manner.
  • Maintain up-to-date knowledge of Australian payroll laws, regulations, and compliance requirements.

Accounts Payable Duties>

  • Receive, review, and process invoices from vendors and suppliers, ensuring accuracy and compliance with company policies and procedures.
  • Enter, reconcile and on-charge Corporate Traveller invoices.
  • Process employee reimbursements in Xero and associated invoices to clients.
  • Assist with entering of debit card expense claims into Xero.
  • Assist Management Accountant with reconciliation templates.

Other Responsibilities:

  • Maintaining interpersonal relationships with Finance & wider TQ team
  • Ensure compliance with regulatory requirements and internal policies and procedures.
  • Any additional ad hoc tasks as required by the business.

Minimum Qualifications

  • 3+ years of experience in payroll processing or similar role, preferably within an Australian context.
  • A degree in Accounting, Payroll Administration, or a related field would be advantageous.
  • Experience with interpreting multiple Modern Awards.
  • Proficiency in payroll software and systems.
  • Experience in the health care or recruitment sectors is desirable, but not mandatory.
  • Proficiency in using MS Office applications (Outlook & Teams) with advanced skills in Excel

Required Attributes

  • Adept at interpreting and applying relevant Australian Modern Awards.
  • Strong analytical skills with the ability to identify and resolve discrepancies.
  • Proficiency in Microsoft Excel.
  • Excellent numerical aptitude and attention to detail: Able to maintain accuracy in financial records and reports, with a keen eye for detecting errors or discrepancies.
  • Ability to work effectively under pressure and meet strict deadlines.
  • Demonstrated proficiency in all aspects of payroll administration, including processing, taxes, deductions, and compliance with Australian regulations.
  • Ability to collaborate effectively with cross-functional teams to address finance matters.
  • Commitment to continuous learning and improvement, staying informed about industry trends, regulations, and best practices in payroll administration.
  • Thorough understanding of Australian payroll laws, regulations, and compliance requirements, including taxation, superannuation, and Fair Work regulations.
  • Knowledge of best practices in payroll record-keeping and documentation to ensure compliance and accuracy.
  • Commitment to maintaining the highest standards of integrity, confidentiality, and ethical conduct in payroll operations.
  • Customer-centric approach with a focus on delivering high-quality service and support to internal and external stakeholders.
  • Effective communication, both verbal and written, to interact with team members, management, and external stakeholders.
  • Proactive attitude and self-motivation to take ownership of tasks and drive continuous improvement initiatives.
