Job Overview:

The Office Administrative Assistant will support day-to-day administrative tasks, maintain office organization, and assist various teams with scheduling, documentation, and communications. This role is ideal for someone with excellent organizational skills, a proactive attitude, and the ability to manage multiple tasks in a fast-paced environment.

KEY RESPONSIBILITIES:

  • Front Desk Management: Greet visitors, answer phones, and handle incoming and outgoing mail.
  • Scheduling and Calendar Management: Coordinate schedules, appointments, and meetings, ensuring seamless time management for executives and team members.
  • Documentation and Record Keeping: Organize and maintain files, documents, and office records, both physical and digital, to support compliance and organizational efficiency.
  • Office Supplies and Inventory: Monitor and manage office supplies, placing orders and maintaining stock levels as needed.
  • Support for Teams: Assist various teams with data entry, documentation, and minor research tasks as needed.
  • Communication and Correspondence: Prepare and send emails, memos, and announcements, ensuring clear communication within the office.
  • General Office Organization: Keep the office area clean and organized, manage meeting room bookings, and support a positive office environment.

Requirements:

  • High School Diploma or equivalent; an Associate's Degree or relevant certification is a plus.
  • 1+ years of experience in an administrative or office assistant role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with Google Workspace.
  • Strong organizational skills with attention to detail.
  • Excellent verbal and written communication skills.
