Job Summary
The Logistics Associate plays a key role in ensuring the smooth coordination of daily transport and logistics operations. Reporting directly to the Logistics Supervisor, this role is responsible for managing transport service bookings, monitoring deliveries, coordinating with vendors, and handling logistics billing documentation. The position ensures that all inbound and outbound logistics activities are executed efficiently, recorded accurately, and aligned with the needs of various departments, including the warehouse, kitchen operations, and supply chain planning.
Key Responsibilities
Transport Service Coordination
- Ensure transport schedules from 3PL partners are aligned with the approved logistics plan.
- Coordinate and book ad hoc transport services based on delivery volume and route requirements.
- Confirm and relay vehicle schedules to both sending and receiving teams.
- Maintain real-time tracking of delivery timelines and truck locations.
Administrative and Clerical Support
- Create Purchase Orders (POs) for logistics billing.
- Process transport service requests via internal systems.
- Generate and assign picklists for warehouse dispatches.
- Encode daily truck attendance and inspection reports.
- Track truck arrival and departure times at kitchen sites.
- Record and update delivery/load discrepancies in internal systems.
- Maintain a comprehensive database of ad hoc transport locations, contact persons, toll fees, travel time, and distances.
Vendor Management
- Monitor and log attendance of 3PL trucks and personnel.
- Evaluate vendor performance based on delivery accuracy and timeliness.
- Track personnel-related issues and escalate as necessary.
Internal Customer Service
- Act as the main point of contact for transport service updates and confirmations.
- Provide timely and accurate logistics information to internal stakeholders.
- Coordinate booking references and delivery statuses for both scheduled and ad hoc movements.
Inventory and Product Quality Support
- Investigate and resolve initial discrepancies in product transfers.
- Monitor and report on product retrievals and pull-outs.
- Track the use, availability, and condition of logistics delivery containers.
Other Responsibilities
- Perform other duties as may be assigned to support logistics operations.
Qualifications:
- Bachelor's degree in Logistics, Supply Chain, Business Administration, or a related field preferred; undergraduates with relevant experience are welcome.
- Minimum of 2 years of experience in warehouse and logistics operations, specifically in inbound and outbound processes.
- Computer literate, with working knowledge of spreadsheets; ERP experience (e.g., NetSuite) is a plus.
- Familiarity with 3PL coordination, transport booking, and delivery monitoring.
