Overview

A growing legal services firm specializing in insurance claims and personal injury cases is seeking a detail-oriented Bilingual Virtual Executive Assistant based in  LATAM to support attorneys with administrative coordination, client communication, and case follow-ups.

This role requires strong organizational skills, professionalism on phone calls, and the ability to manage multiple tasks while maintaining accurate records and detailed notes.

Experience in the legal or insurance claims industry is a plus, but not required.

Key Responsibilities

  • Manage and organize attorney calendars and appointments

  • Monitor and respond to emails in a timely and professional manner

  • Conduct follow-ups with attorneys and internal team members on ongoing matters

  • Make outbound calls to request medical or insurance records

  • Maintain accurate notes and documentation related to cases and communications

  • Assist with case coordination and administrative support tasks

  • Ensure all communications and follow-ups are properly tracked

  • Support attorneys with general administrative and operational tasks

Required Skills & Qualifications

  • Fluent in English and Spanish (spoken and written)

  • 2+ years of experience as a Virtual Assistant, Administrative Assistant, or similar role

  • Comfortable speaking on the phone and handling calls professionally

  • Strong attention to detail, especially when taking notes and documenting information

  • Excellent organizational and time-management skills

  • Ability to follow up proactively and manage multiple tasks

  • Strong communication and interpersonal skills

  • Proficiency with Microsoft Office / MS Suite (Outlook, Word, Excel, Teams)

Preferred Qualifications (Nice to Have)

  • Previous experience as a Legal Assistant

  • Familiarity with insurance claims, property claims, or personal injury cases

  • Experience requesting medical records or legal documentation
