Virtual Administrative Assistant/Support Specialist Job Description
The Administrative Assistant is responsible for handling tasks in and out of our office. This position
manages incoming phone calls, texts and other communications with SFC staff as well
as families enrolled in our program. We are seeking an individual who is able to work well in a
team environment, is comfortable with a fast pace of incoming tasks, and has strong
communication as well as organizational skills. This position reports directly to the Area Director and
Director of Chef Operations.
Key Responsibilities
Daily inbox and calendar management
Communicate directly with parents, school staff and SFC staff
Provide daily phone/email coverage to assist our Chef Instructors before, during and after their
classes (between the hours of 1-5 PM)
Help coordinate and assist with equipment and supply pick-up for staff from office
Keep track of and coordinate staff birthdays
Assist in organizing staff meetings by gathering and purchasing necessary supplies
Support the territory managers with other duties, as needed, including general administrative
support
Maintain a clean and organized office and assist with inventory maintenance
Qualifications
At least 2 years of experience in an administrative assistant role
At least 1 year of experience in a customer-service related role
Highly effective, positive and enthusiastic verbal and written communication skills
Team player with a flexible, positive, and creative approach to problem solving
Self-directed, independent work ethic
Comfortable learning new technology and software systems
Proficiency in computer software programs such as Pages and Numbers (or
Microsoft Excel and Word) and Adobe Acrobat
Experience using web-based computer programs (especially Google applications, such
as Google Drive and Gmail)
Ability to work in a fast paced environment
Demonstrated ability to manage multiple projects, tasks and priorities independently to meet
deadlines
