City University Ajman is seeking a proactive and detail-oriented Admissions Officer to join our team. The successful candidate will be responsible for managing the admissions process, guiding prospective students and their families, and ensuring smooth coordination between applicants, departments, and university services. This role involves direct communication with students, parents, and feeder schools, while maintaining accurate records and supporting the universitys admissions and enrollment initiatives.

Responsibilities:

  • Respond to all inquiries (telephone, email, in person, via the website) providing advice to prospective students, parents, and feeder schools.
  • Gather data on all inquirers and input them into the admissions database.
  • Ensure brochures are always available in reception and waiting areas.
  • Provide relevant marketing materials to inquirers within 24 hours and maintain engagement by inviting them to university events.
  • Arrange campus tours for visitors.
  • Process application forms for admission on the day they are received, including inputting details onto the admissions database.
  • Follow up with admissions inquiries.
  • Provide students with entrance test and interview schedules.
  • Maintain accurate records of current and prospective students, including test results and interview feedback.
  • Prepare and distribute offer/decline letters, including scholarship letters.
  • Register students into programs according to program specifications and prerequisites.
  • Process scholarship applications and obtain necessary approvals.
  • Follow up on transfer credit processes for students relocating from other universities.
  • Issue all types of official correspondence for students.
  • Maintain stocks of all marketing materials (catalogs, student handbooks, brochures, and flyers).
  • Attend and assist with university open days, school visits, and educational exhibitions.
  • Participate in exhibitions, seminars, and promotional activities.
  • Handle all walk-in inquiries about university admissions.
  • Provide counseling to new students.
  • Open files for newly admitted students and register their data into the system.
  • Handover newly admitted student files to the Registration Department.
  • Coordinate initial visa procedures for newly admitted students with the PRO.
  • Review entered data to ensure accuracy before forwarding files electronically to the Registration Department.
  • Issue admissions offer letters and generate student IDs.
  • Register students for TOEFL/IELTS exams and enter results into the system.
  • Assemble student data and maintain periodic reports.
  • Coordinate all visa formalities for expatriate students to ensure smooth enrollment.
  • Keep admissions statistics up-to-date and submit reports to the Registrar on a daily basis.
  • Attend meetings when necessary and contribute to admissions-related initiatives.
  • Perform other related duties as required.

Qualifications:

  • Bachelors degree in Business Administration, Education, or a related field.
  • Experience in admissions, student recruitment, or related academic administrative roles.
  • Strong organizational, communication, and interpersonal skills.
  • Ability to manage multiple tasks efficiently with accuracy and attention to detail.
  • Proficiency in MS Office Suite and student information systems.
  • Familiarity with admissions policies, visa procedures, and higher education processes is desirable.
