Role Scope & Daily Responsibilities:

The Virtual Assistant will provide high-level commercial and administrative support to the Country Manager and wider client team. The role is designed to streamline business operations, improve client engagement, and ensure timely delivery of commercial and operational outputs.

1. Commercial Support

  • Prepare, format, and update commercial proposal templates in line with client branding and requirements.
  • Track and follow up on proposals sent to clients to ensure timely responses and record outcomes.
  • Assist in preparing commercial materials, pitch decks, and capability statements for prospective and existing clients.

2. Client & Stakeholder Engagement

  • Support the Country Manager by following up with new clients, ensuring onboarding steps are completed and communication is maintained.
  • Log and track client interactions, ensuring all commitments and next steps are captured in Monday.com.
  • Provide reminders and draft correspondence for client follow-ups.

3. Task & Delegation Management

  • Assist the Country Manager with organising tasks, delegating actions, and tracking deadlines across multiple departments.
  • Maintain oversight of assigned actions to ensure accountability and completion.
  • Prepare short daily or weekly summaries of outstanding tasks and priorities.

4. Systems & Data Support

  • Assist with setting up and maintaining Monday.com boards for projects, proposals, and client onboarding.
  • Review and update data across platforms (e.g. Monday.com, spreadsheets, reporting templates) to ensure accuracy.
  • Provide support in creating dashboards and structured workflows to improve efficiency.

5. Onboarding & SOP Development

  • Coordinate onboarding of new clients, ensuring all required documentation and information is captured and loaded into systems.
  • Assist in drafting and updating Standard Operating Procedures (SOPs) for business processes to ensure consistency and compliance.
  • Maintain a library of SOPs, templates, and process documents for team use.

6. General Executive Support

  • Provide day-to-day support to the Country Manager by managing reminders, preparing briefing notes, and assisting with follow-ups from internal or external meetings.
  • Undertake ad-hoc administrative and research tasks as required.

Key Outcome: The VA will act as a commercial and organisational support partner, enabling the Country Manager to focus on client relationships, strategy, and business growth, while ensuring proposals, onboarding, data, and SOPs are delivered efficiently.
