About the job Compliance Assistant

Key Responsibilities & Area Task

Compliance & Risk Support

- Assist in updating and maintaining compliance registers, risk assessments, and WHS documentation
- Monitor incoming incident and surveillance reports, prepare documentation, and support investigation processes
- Maintain records for NHVAS, Basic Fatigue Management (BFM), and Electronic Work Diaries (EWD)
- Assist in ensuring company policies and procedures remain current and accessible
- Prepare reporting packs for internal and external stakeholders as required

Training & Onboarding

- Support onboarding process by creating driver training packs and uploading into the LMS
- Enroll drivers into online training and assist in maintaining completion records
- Assist with compliance-related communications and follow-up from training sessions
- Coordinate virtual inductions with support from onshore team

Customer Service & Support

- Monitor customer compliments and complaints received and ensure they are logged and escalated appropriately
- Support RACQ event queries by documenting operator feedback and incident info
- Assist in preparing reports for review by the GM and compliance team

Administration & Reporting

- Complete data entry and digital filing of all compliance-related records
- Assist in preparing summaries for audits, inspections, and quality reviews
- Manage and maintain up-to-date versions of policies, SOPs, and quality documents
- Coordinate with onshore management to track uniform and equipment issues logged through internal systems

Quality, Safety & Environmental

- Maintain reporting registers for drug and alcohol test logs, first aid kit updates, and tag & test records (data entry only)
- Assist in tracking WHS compliance tasks, including staff follow-ups
- Support the digital collation of safety toolbox topics, site audit summaries, and action items

Other Duties

- Support general admin, research, document formatting, or compliance preparation work as directed
- Liaise with other offshore team members to share best practices and maintain high-quality reporting standards


Skills, Experience & Behaviour

Skills & Knowledge

  • Strong attention to detail and accuracy
  • Excellent written English and confident in formal communication
  • Solid understanding of administrative procedures and record-keeping
  • Intermediate to advanced Microsoft Office (especially Word, Excel, and Outlook)
  • Experience with reporting software or cloud-based filing systems (e.g., SharePoint, OneDrive, Google Drive)
  • Organised and able to work under tight deadlines with minimal supervision
  • Familiarity with Australian WHS or transport compliance systems (advantageous)

Experience & Qualifications

  • Minimum 2 years of experience in an administration, compliance, or support role
  • Experience working with Australian-based businesses (preferred)
  • Background in transport or logistics support (highly regarded)
  • Business, Administration or Compliance-related certification (desirable)
