Position Purpose

The Commercial Coordinator & Pricing Analyst plays a central role in supporting the commercial function of the business. This position is responsible for producing high-quality commercial responses, maintaining data integrity across business systems, coordinating end-to-end commercial activities, and supporting the development and continuous improvement of pricing for the company's service lines — including Asset Management Services, Control Room Services, and Advisory & Development Services.

The successful candidate will develop a strong understanding of how the business delivers its services, how those services are priced, and how actual performance data can be used to sharpen future pricing and improve commercial outcomes.

Key Responsibilities:

Commercial & Proposal Response Execution
Produce complete, accurate, and professional commercial responses including Expressions of Interest (EOIs), Project Proposals (PPs), Requests for Information (RFIs), and formal tenders.

Ensure all submissions align with client instructions, company templates, and stated deadlines.

Coordinate the collation of inputs from subject matter experts, operations staff, and leadership.

Manage the version control and document management of proposal materials.

Review and proofread all commercial submissions prior to lodgement to ensure quality and consistency.

CRM & Commercial Data Integrity
Maintain accurate, current, and reliable commercial data across Monday.com, CRM, and SharePoint.

Ensure opportunity records, client contacts, pipeline stages, and commercial data are kept up to date.

Develop and maintain dashboards and reports that provide visibility over the commercial pipeline.

Identify gaps or inconsistencies in commercial data and take corrective action.

Support onboarding of new opportunities into the CRM from initial identification through to contract execution.

Commercial Coordination & Follow-through
Coordinate inputs, track actions, and ensure commercial deliverables progress smoothly from opportunity identification through to contract execution.

Follow up on submitted proposals, manage post-submission queries, and prepare responses to clarification questions.

Develop a working understanding of the scope of services across each service line to support accurate and responsive follow-up.

Maintain a register of active opportunities and their status, escalating risks to deadlines as required.

Support contract administration activities at the close of a successful bid.

Pricing Support & Development
Support the preparation of pricing models and fee schedules for proposals across Asset Management Services, Control Room Services, and Advisory & Development Services.

Develop a thorough understanding of how each service line is delivered and the cost drivers that underpin pricing.

Assist in building and maintaining pricing spreadsheets that reflect the commercial structure and resourcing of each service.

Populate and review pricing inputs in collaboration with operations and technical leads.

Ensure pricing outputs are accurate, commercially sound, and presented clearly within proposals.

Pricing Improvement & Analysis
Review and analyse actual time and resource data from delivered projects and ongoing services to validate and improve pricing assumptions.

Compare estimated versus actual effort across tasks and activities to identify variances and opportunities for refinement.

Feed findings from time analysis back into pricing spreadsheets to continuously improve accuracy and competitiveness.

Maintain a register of historical pricing data and outcomes to support benchmarking and trend analysis.

Work collaboratively with operations and delivery teams to understand how services are performed and where efficiencies or risks exist.


Skills, Experience & Qualifications

Essential:

Demonstrated experience in a commercial, bid coordination, or proposal support role

Strong written communication skills with the ability to produce clear, professional documents

High attention to detail and commitment to accuracy in data and document management

Proficiency with CRM platforms and project management tools (Monday.com experience highly regarded)

Intermediate to advanced skills in Microsoft Excel, including the ability to work with structured pricing spreadsheets

Ability to manage competing deadlines and coordinate inputs from multiple stakeholders

Strong organisational skills and a methodical approach to tracking and follow-through

Desirable:

Experience in or exposure to asset management, utilities, infrastructure, or control room / SCADA environments

Familiarity with pricing models for professional services or managed services businesses

Experience with SharePoint document management and version control

Understanding of tender and procurement processes in government or regulated industries

Tertiary qualification in Business, Commerce, Engineering, or a related discipline
