Accounts Receivable / Accounting Representative
Full-Time | In-Person | Plumbing & HVAC 

We are seeking a detail-oriented and organized Accounts Receivable / Accounting Representative to support our client's growing plumbing and HVAC company. This role requires strong accounting skills, accuracy under pressure, and familiarity with certified payroll and government contract accounting. You'll handle day-to-day receivables while ensuring all billing and reporting meet state and federal compliance standards.

Key Responsibilities

  • Process and record accounts receivable transactions in accordance with GAAP and company policies.

  • Maintain accurate customer accounts, reconcile ledgers, and ensure timely posting of payments.

  • Prepare and submit certified payroll reports in compliance with prevailing wage and Davis-Bacon requirements.

  • Support government contract billing and reporting, ensuring adherence to all contractual and regulatory obligations.

  • Collaborate with project managers to verify labor hours, material costs, and change orders prior to invoicing.

  • Work with customer service and operations to resolve billing discrepancies or client questions.

  • Generate financial reports and assist with month-end close and audit preparation.

  • Track overdue accounts and follow up professionally to maintain positive client relationships.

Qualifications

  • Proven experience in accounts receivable or general accounting, ideally within construction, plumbing, or HVAC.

  • Working knowledge of certified payroll, prevailing wage laws, and government contract compliance.

  • Strong understanding of accounting principles, including double-entry bookkeeping and revenue recognition.

  • Proficiency in QuickBooks and Microsoft Office Suite; familiarity with construction accounting software a plus.

  • Excellent communication skills and professionalism with customers and field staff.

  • Ability to work independently while managing multiple priorities with accuracy and efficiency.
