JOB SUMMARY
- The Purchasing Supervisor at Dermorepubliq is responsible for overseeing procurement operations and leading the Purchasing Specialist team in executing core purchasing processes. This role ensures efficient vendor onboarding, compliance documentation (including NDAs), accurate order processing, and timely resolution of purchasing and supplier-related issues. The position plays a critical role in maintaining procurement integrity through proper 3-way matching (PO, GR/DR/RR, SI/DR) while supporting cost efficiency, compliance, and operational continuity within a fast-paced skincare manufacturing environment.
KEY RESPONSIBILITY
Team Leadership & Supervision:
- Supervise and guide Purchasing Specialists, ensuring accuracy, efficiency, and adherence to procurement processes.
- Provide coaching, performance monitoring, and development support to team members.
- Ensure clear task delegation and accountability across procurement activities.
Vendor Accreditation & Management:
- Oversee the vendor accreditation process, ensuring all suppliers meet company standards and compliance requirements.
- Review and approve vendor documentation and onboarding requirements.
- Maintain and strengthen supplier relationships to support quality, reliability, and cost efficiency.
Contract & Documentation Compliance:
- Ensure timely accomplishment and proper filing of Non-Disclosure Agreements (NDAs) and other vendor-related documents.
- Monitor completeness and accuracy of procurement documentation.
Procurement Operations & Issue Resolution:
- Oversee processing and monitoring of purchase orders (POs).
- Ensure timely resolution of after-PO issues, including order discrepancies, delivery concerns, and sales-related conflicts.
- Act as escalation point for complex supplier or transaction issues.
3-Way Matching & Financial Accuracy:
- Ensure accurate and timely 3-way matching of Purchase Orders (PO), Goods Receipt (GR), and Supplier Invoice/Delivery Receipt (SI/DR).
- Coordinate closely with Finance to resolve discrepancies and ensure proper documentation for payment processing.
- Maintain audit-ready procurement records.
Process Improvement & Compliance:
- Identify opportunities to improve procurement workflows, controls, and systems.
- Ensure adherence to internal policies, financial controls, and regulatory requirements.
- Support audits and compliance checks related to procurement activities.
QUALIFICATION AND REQUIREMENTS
Education
- Bachelor’s degree in Business Administration, Supply Chain Management, Finance, or a related field is preferred but not required.
- Equivalent relevant experience in procurement or purchasing operations may be considered.
Experience
- At least 3–5 years of experience in procurement, purchasing, or supply chain roles.
- Minimum of 1–2 years in a supervisory or team lead capacity is preferred.
- Experience in vendor accreditation, contract documentation, and procurement operations.
- Experience in FMCG, manufacturing, or skincare industry is an advantage.
SKILL AND COMPETENCIES
Technical Skills
- Strong knowledge of procurement processes, including vendor accreditation and purchase order management.
- Experience with 3-way matching (PO, GR, SI/DR) and financial controls.
- Familiarity with ERP systems and procurement tools.
- Proficiency in Microsoft Excel and reporting tools.
