JOB SUMMARY

The Marketing Admin plays a vital support role in the execution of marketing and PR initiatives. This role is responsible for managing logistics such as PR kit fulfillment and inventory tracking, maintaining campaign-related trackers, assisting in day-to-day marketing operations, and ensuring that brand assets and directories are well-organized and up to date. The position supports both ongoing and ad hoc campaigns, acting as a reliable operations anchor for the marketing team.

KEY RESPONSIBILITIES

Marketing Operations & Fulfillment

  • Coordinate preparation, assembly, and delivery of PR kits, seeding boxes, and event giveaways
  • Track and manage marketing inventory (e.g., merchandise, packaging, collateral) to ensure adequate stock and timely reorders
  • Liaise with vendors, couriers, and suppliers for logistics and cost management

Administrative & Campaign Support

  • Assist with campaign execution tasks such as scheduling posts, reviewing content, and coordinating with internal teams or partners
  • Update and maintain internal trackers (e.g., KOL & UGC directories, content calendars, shipment logs)
  • Maintain accurate and updated records of influencer, media, and partner contacts across internal databases

Asset & File Organization

  • Organize brand assets, creative materials, and campaign files across cloud storage (e.g., Sharepoint, Google Drive, etc.)
  • Ensure that all assets are correctly named, tagged, and easy to retrieve by the team
  • Manage version control of marketing collateral and template files

General Marketing Support

  • Assist in the compilation of campaign recap reports, including screenshot collection and analytics summary
  • Perform quality checks on outgoing content, packaging, and visual assets
  • Verify product name suggestions for duplication and proofread briefs and key visuals for accuracy and clarity.

    QUALIFICATION AND REQUIREMENTS

    Education

    • Bachelors degree in Marketing, Communications, Business, or a related field (or equivalent work experience)

    Experience

    • At least 1 year of administrative or marketing coordination experience, preferably in a fast-aced or consumer-focused environment

    SKILLS & COMPETENCIES

    Technical Skills:

    • Proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets, Drive) and task/project management tools (e.g., Notion)
    • Familiarity with Canva or basic design tools is a plus
    • Comfort with shipping platforms or e-commerce tools (e.g., Shopify)

    Soft Skills:

    • Strong organizational and time management skills
    • Detail-oriented with a proactive, solutions-focused mindset
    • Excellent written and verbal communication skills
    • Team-oriented, flexible, and eager to learn

    WORK ENVIRONMENT

    • Hybrid (Mon-Wed onsite, Thurs-Fri WFH)
    • Occasional in-person work may be required for packaging or events
    • Flexible working hours during campaign-heavy periods, with occasional weekend or evening coordination but only as needed
