The Role
As a Personal Assistant / Executive Assistant to the General Manager, you will provide high-level administrative, organisational, and operational support, ensuring the smooth and efficient management of day-to-day executive activities.
This is a key position within the organisation, requiring professionalism, discretion, initiative, and the ability to manage multiple priorities.
Key Responsibilities
- Provide comprehensive administrative and secretarial support to the General Manager.
- Manage and coordinate the General Manager's calendar, appointments, meetings, and daily schedule.
- Prepare meeting agendas, reports, presentations, and supporting documentation.
- Draft, review, and manage correspondence, emails, and business communications.
- Act as a key point of contact between the General Manager and internal and external stakeholders.
- Screen and handle incoming calls, emails, and enquiries professionally and efficiently.
- Organise meetings, conferences, and travel arrangements, including overseas travel when required.
- Maintain accurate filing systems and confidential records.
- Assist with special projects and day-to-day business operations as required.
- Anticipate the needs of the General Manager and proactively provide support to ensure efficiency and productivity.
Requirements
- Minimum of 3 years' experience in a Personal Assistant, Executive Assistant, or similar administrative support role.
- A minimum of A-Level standard education.
- Excellent communication skills in both English and Maltese, written and spoken.
- Strong organisational, planning, and multitasking abilities.
- Exceptional attention to detail and commitment to producing accurate, professional work.
- Ability to work independently, use initiative, and exercise sound judgement.
- Strong problem-solving skills and a proactive approach.
- Ability to perform effectively under pressure and manage competing priorities.
- Excellent interpersonal skills and the ability to build strong working relationships with stakeholders at all levels.
- Advanced proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
- High level of professionalism, discretion, and confidentiality.
- Currently living in Malta.
