Opportunity Details

  • Working Location: Ho Chi Minh City, Vietnam

  • Working Time: Monday to Friday, standard office hours, with flexibility as needed for the business. Occasional travel within Vietnam and internationally may be expected.

  • Employment Type: Full-time

  • Team Management: No direct reports initially; scope may evolve over time

Role Purpose

The Chief of Staff will serve as a strategic and operational partner to the Country Director. This role focuses on improving internal coordination, enhancing execution across key initiatives, and facilitating external engagement. It is ideally suited for individuals with a strong desire to make an impact in Vietnam and those who bring a structured, hands-on approach to leadership support and organizational improvement.


Main Objectives

  • Serve as the primary point of coordination for the Country Director across internal and external stakeholders

  • Strengthen operational clarity and delivery across departments and cross-functional initiatives

  • Support the development of systems and processes that improve organizational efficiency and responsiveness

  • Gradually take ownership of selected internal functions, depending on performance and organizational needs


Responsibilities

Core Responsibilities:

  • Drive the execution of leadership priorities by coordinating across internal teams and external stakeholders

  • Prepare internal and external communications, manage meeting agendas, and ensure timely follow-up

  • Support engagement with public institutions, community stakeholders, and other partners

  • Help draft standard operating procedures, structure performance tracking systems, and introduce basic KPI monitoring

  • Review and rationalize the use of productivity and communication tools, primarily based on Microsoft and Teams

  • Act as a cultural and operational bridge for the Country Director, helping navigate local dynamics and team expectations


Additional Responsibilities:

  • Assist with internal HR processes, including onboarding, documentation, and performance evaluation

  • Participate in initiatives to improve internal alignment, role clarity, and accountability

  • Support broader organizational renewal efforts over time, in line with strategic priorities


Requirements

Education & Qualifications:

  • Bachelor’s degree in Business Administration, Public Policy, Development, or a related field

  • A master’s degree or additional training in organizational management or nonprofit leadership is a plus

Professional Experience:

  • Minimum 5 years of experience in operations, program coordination, or strategic support roles

  • Strong track record managing cross-functional collaboration and supporting senior leadership

  • Experience working with or engaging public institutions is highly preferred

  • Prior experience in nonprofit or mission-driven organizations is beneficial but not required

Technical & Operational Skills:

  • Proficiency with Microsoft Office and Microsoft Teams for internal coordination and communication

  • Comfortable introducing and managing structured workflows and tracking systems

  • Familiarity with local labor regulations and basic HR processes (e.g., recruitment, performance tracking, internal compliance)

Behavioral Competencies:

  • Highly organized, with a practical mindset and strong attention to detail

  • Mature interpersonal judgment, with the ability to build trust and navigate sensitive dynamics

  • Calm, discreet, and dependable under pressure
