About the job Executive Client Services Coordinator
Job Summary:
As the Executive Client Services Coordinator, you will be the first impression for many of our clients answering phones, greeting walk-ins, and providing a warm, professional experience while acting as a gatekeeper for our accounting team. You will support the CEO directly with administrative tasks and oversee the smooth flow of work across the firm, including managing our internal job pipeline and onboarding new clients.
Key Responsibilities:
Client Interaction & Front Desk

Answer incoming calls with professionalism and positivity

Screen calls, log inquiries, and schedule appointments rather than simply transferring calls

Greet clients at the front desk with a smile and a helpful attitude

Maintain boundaries while ensuring every client feels heard and cared for

Process and distribute incoming and outgoing mail daily
Client Onboarding & Job Flow Management

Create and manage job entries for client projects in our internal system

Provide an outstanding onboarding experience for new clients

Assign jobs to the appropriate staff based on capacity and workload

Run reports, audit job statuses, and follow up with team members and clients

Scan and organize client documents, especially during peak tax season
Executive Support

Manage CEOs calendar, email inbox, and meeting notes

Handle special projects and administrative tasks as assigned

Proactively relieve the CEO of items that can be delegated
Light Bookkeeping Support

Assist with basic data entry, reconciliations, and document organization
