POSITION OVERVIEW:
We are seeking a Document Controller to support project delivery by managing, tracking, and maintaining accurate records of all project documentation. The role ensures compliance with internal processes and external requirements, contributing to the orderly flow of information throughout the project lifecycle.
KEY RESPONSIBILITIES:
Document Management & Control
- Receive and log invoices, payment certificates, and technical documents from consultants, contractors, and vendors.
- Verify formatting and compliance requirements before uploading to the document management system (e.g., SharePoint, Tjori).
- Maintain document logs, manage version control, and ensure timely circulation of documents in accordance with Delegation of Authority (DOA).
- Coordinate review and approval workflows across internal departments and external stakeholders.
Project Support
- Attend site meetings and prepare minutes.
- Assist project teams (design, engineering, MEP) with document-related tasks and contract administration.
- Draft letters and formal responses as required.
Project Closeout
- Collect final project documentation such as as-built drawings, warranties, and guarantees.
- Cross-check submissions against handover checklists and submit to the Asset Management Support Services (AMSS) team.
- Support snagging and final account documentation processes.
Asset Management
- Conduct inventory checks of unused on-site materials and manage asset transfer documentation.
- Coordinate approvals from business owners in line with DOA requirements.
QUALIFICATIONS & EXPERIENCE:
- Education: Diploma in a related field is required; a Bachelor's degree is preferred.
- Experience: 2-5 years of relevant experience in document control, ideally within construction, engineering, or real estate development.
- Systems Knowledge: Proficiency in document control platforms such as Open Text, Oracle Primavera Unifier, SharePoint, Tjori, or equivalent systems.
