Office managers are the backbone of every company. They are responsible for keeping an office running smoothly and overseeing administrative support, while maintaining great relationship with colleagues, external authorities, and visitors to the office. They wear many hats and often assist with various small tasks. They are open minded, resourceful, and organized.

And we need one of these incredible individuals!

We are eCollect and we are Europe’s leading receivables management platform.

We have created the first all-in-one platform on the market that is able to process receivables 100% autonomously.Our cross-border AI-powered solution covers the entire receivables cycle: from invoice creation and distribution, over dunning and pre-legal collection, to the initiation of legal procedures. The company is headquartered in Switzerland and has hubs in Essen, Germany, and Sofia, Bulgaria.

We are a small team with big goals. We can often be found chatting about the latest trends in the FinTech industry, and how we can use them to our advantage.

And we need help keeping the office organized!

The responsibilities you would be expected to undertake are:

  • Maintaining open communication with external authorities, partners, and colleagues
  • Maintaining well-structured communication with accounting, coordinating data and keeping track of the work process
  • Assisting with paperwork, organizing documents, and supporting the filing system
  • Being responsible for developing and implementing office policies by setting up standards and procedures to guide the smooth operations in the office
  • Making suggestions for improvement of the day-to-day work process and implementing new strategies
  • Coordinating activities amongst the rest of the colleagues to ensure maximum efficiency
  • Ensuring security, integrity, and confidentiality of data
  • Maintaining a safe and pleasant work environment

In order to be considered for this role, it is important to:

  • Be fluent in English; knowledge of German is a plus
  • Have a degree, or towards the end of your studies, in the field of Business Administration, Human Resources, or related
  • Have office administration experience, however, candidates with similar background are also encouraged to apply
  • Be excellent in your computer skills, including a high degree of proficiency in Microsoft Word, Excel and PowerPoint
  • Have strong analytical skills and strategic mindset
  • Be a self-starter and take responsibility for your decisions
