We're Hiring: Finance & Operations Coordinator

We are seeking a highly organized and detail-oriented Finance & Operations Coordinator to support our daily financial and operational processes. This role is ideal for someone who thrives in a structured environment, enjoys working with numbers and systems, and can effectively coordinate across teams.

Responsibilities:

  • Review and validate time tracker reports in WebWork, including preparing and implementing manual adjustments as needed
  • Review, validate, and monitor incentive claims for eligible RPs to ensure accuracy and compliance
  • Maintain organized records of all RP and vendor invoices, ensuring proper documentation and filing
  • Perform accurate data entry in QuickBooks for all RP-related transactions
  • Serve as a point of contact for RPs, addressing inquiries related to time logging, attendance, and claims processes
  • Support invoice creation and oversee the claims processing workflow
  • Conduct monthly Billing 101 sessions for new team members to ensure understanding of billing processes
  • Monitor and track PTO allocations provided by Eiva and clients, ensuring proper documentation and usage
  • Maintain and update internal working files to ensure data accuracy and operational efficiency

Required Tools & Skills:

  • Proficiency in QuickBooks Online
  • Strong working knowledge of Google Sheets (data tracking, reporting, and basic formulas)
  • Experience with PowerPoint, Canva, or similar tools for presentations and training sessions
  • Familiarity with time-tracking platforms (e.g., WebWork or similar systems)
  • Strong attention to detail, organization, and data accuracy
  • Effective communication skills for cross-functional coordination and support

Work Setup:

  • Part-Time Role
  • 60–80 hours per month
  • Flexible time, with willingness to adjust based on business needs when required

Salary:

  • USD 5 per hour
