Our partner, is looking for a Transaction Coordinator / Executive Assistant

Full-Time On-Site (San Juan, Puerto Rico)

Were seeking a highly organized, proactive Transaction Coordinator to manage deal flow and back-office operations. This is a full-time, on-site role ideal for someone who thrives in a fast-paced, high-accountability environment and has a strong eye for detail.

Key Responsibilities

Transaction Coordination

  • Manage all aspects of real estate transactions from contract to close, including timelines, inspections, appraisals, escrow tracking, and attorney coordination.
  • Ensure all documentation is accurate, compliant, and uploaded to our CRM and shared drives.
  • Act as the primary liaison between agents, buyers, sellers, lenders, attorneys, and closing teams.
  • Maintain and update internal checklists and deadlines.

Listing & Marketing Support

  • Upload and manage listings across MLS, Clasificados, company site, and other syndication platforms.
  • Schedule open houses and showing logistics in coordination with brokers.

Client Experience

  • Answer incoming calls and inquiries with professionalism and urgency.
  • Send buyer/seller documentation and follow-up emails with accuracy and timeliness.
  • Keep clients informed at every stage of the transaction process.

Social Media & Email Marketing

  • Coordinate with management to schedule and publish social media content.
  • Assist with design and distribution of email campaigns (e.g., new listings, closings, company updates).

Back-Office Admin & Payroll

  • Handle light bookkeeping, vendor invoice tracking, and monthly payroll support.
  • Maintain organized digital records and support compliance requests.

Qualifications

  • Highly organized, proactive, and detail-oriented
  • Strong written and verbal communication in both English and Spanish
  • Real estate transaction experience strongly preferred
  • Comfortable working with CRM tools, digital calendars, and productivity platforms
  • Calm under pressure, excellent at juggling priorities
  • Tech-savvy, with a willingness to learn internal systems
  • Bachelors Degree
