Job Overview:

Emirates Talent Solution is hiring a dedicated and highly organized Executive Assistant / Secretary for a prestigious property development company based in Dubai. This role is ideal for a proactive individual with strong administrative skills, excellent communication abilities, and the capability to support senior management in a dynamic, high-paced real estate environment.

Key Responsibilities:

Executive & Administrative Support

  • Manage calendars, meetings, and daily schedules for senior executives

  • Draft, edit, and prepare reports, project updates, presentations, and business correspondence

  • Maintain organized filing systems and confidential property development records

Communication & Coordination

  • Act as a liaison between the executive team and internal/external stakeholders, including investors, brokers, and consultants

  • Coordinate travel arrangements, meetings, site visits, and event participation

  • Ensure smooth communication flow across departments and project teams

Meetings & Events

  • Organize meetings, conferences, property launches, and internal events

  • Prepare meeting agendas, take minutes, and track follow-ups and deliverables

  • Ensure all materials, presentations, and logistics are prepared in advance

Confidentiality & Discretion

  • Handle confidential project information and legal documents with utmost professionalism

  • Ensure secure management of contracts, property agreements, and sensitive company data

Office & HR Support

  • Oversee office supply management and administrative support tasks

  • Assist HR with onboarding, document management, and general coordination of team activities

Requirements:

  • Bachelor's degree in Business Administration, Secretarial Studies, or a related field

  • 5 - 7 years of experience in a similar executive support role (required)

  • Previous experience in the property development or real estate industry (preferred)

  • Strong command of Microsoft Office (Excel, Word, PowerPoint, Outlook)

  • Excellent communication skills in English (Arabic is a plus)

  • Proven ability to multitask and independently manage priorities

  • High level of attention to detail, discretion, and professionalism
