Position Overview
The Fund Operations Specialist plays a critical role in supporting investor operations, trade processing, transfer agent relationships, and client service activities for alternative investment offerings. This individual will serve as a key liaison between investors, financial advisors, custodians, broker-dealers, and transfer agents while ensuring the accurate execution of operational processes and reporting requirements.
This position is ideal for a detail-oriented financial services professional who enjoys balancing operational responsibilities with client support and relationship management.
Key Responsibilities
- Process investor subscriptions, redemptions, transfers, and other trade-related transactions.
- Coordinate with transfer agents, custodians, broker-dealer operations teams, and internal departments to ensure timely and accurate transaction processing.
- Reconcile trade reports, investor records, and account activity.
- Maintain accurate investor and advisor information within Salesforce CRM and related systems.
- Assist with the preparation and distribution of investor statements, financial reports, tax documents, and regulatory communications.
- Support monthly, quarterly, and annual investor operations deliverables.
- Respond to inquiries from financial advisors and investors, providing exceptional service and timely follow-up.
- Generate operational reports and perform data analysis using Excel.
- Assist with due diligence events, advisor visits, and other corporate events by coordinating travel, logistics, and materials.
- Document and maintain operational procedures and workflows.
- Identify operational issues and escalate concerns appropriately.
Qualifications
- Bachelor's degree preferred.
- 2–5 years of experience in financial services operations, fund administration, transfer agency, investor services, or related fields.
- Experience processing trades, subscriptions, redemptions, or investor transactions.
- Familiarity working with transfer agents, custodians, broker-dealers, or asset management firms.
- Advanced Microsoft Excel skills required.
- Experience with Salesforce or other CRM platforms preferred.
- DTCC and AIP reporting experience is a plus.
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
