Essential Duties and Responsibilities:
Physical Verification Process
A. Conduct Walkthrough of Locations
- Search for Assets: Physically locate and identify the IT assets based on the inventory list
- Check Asset Locations: Use the asset management system to verify the listed location of each item and ensure it matches the physical location of the asset
B. Verify Asset Details
- Serial Numbers: Compare the serial number of each asset with the one listed in the inventory records
C. Address Discrepancies and Missing Assets
- Locate Missing Assets: If any asset is missing or located in a different area than listed, document the discrepancy and initiate a search in other departments or locations
- Flag Unlisted Assets: If assets are found in locations that are not listed in the asset management system, notify the responsible parties for follow-up
- Record Damaged Assets: If any equipment is found to be damaged or non-operational, mark it for repair, replacement or disposal. Update the system with the condition and proposed next steps.
Reconciliation Process
A. Reconcile Findings
- Update Asset Information: After physically verifying the assets, update the asset management system to reflect any discrepancies found, such as location changes, new assets, or missing items
- Verify Serial Numbers and Locations: Ensure that serial numbers, assets IDs, and locations in the system match the actual assets found
- Track Transfers or Movements: For assets that have been moved to different locations or departments, update the system with the correct location and assignment
B. Handle Discrepancies
- Update Inventory Records: Make necessary adjustments in the assets management system, such as: Correcting locations, updating asset conditions and Re-tagging items that are missing or damaged
Software Data Cleanup and Reconciliation
- Support continuous cleaning of software records in IFAMS, cross-checking with Flexera, Intune & SharePoint
- Tag unused or ghost software and prepare decommissioning proposals
- Maintain an audit trail of edits, actions and stakeholder confirmations
Reporting & Coordination
- Consolidate daily audit logs, track activity progress and update dashboards
- Liaise with department PPA secretaries to confirm declarations or resolve issues
- Assist in scheduling, documentation filing, and preparing exception reports
Education and/or Work Experience Requirements:
- Bachelor's degree in IT, Computer Science, Information Systems or a related field
- Fresh graduates or candidate with 2-year experience in IT asset management, IT operations, service desk, inventory management or IT support roles are encouraged to apply
- Comprehensive understanding of IT asset management lifecycle including asset tracking, verification, reconciliation and disposal processes
- Familiarity with asset management-systems, software inventory tools or endpoint management platforms is an advantage
- Ability to organize information, manage documentation, and track timelines effectively
- Ability to independently work on projects and deliver within the allocated time and budget.
- Excellent verbal and written communication skills, enabling effective interaction with internal and external customers
