About the job Secretary

Essential Duties and Responsibilities:

  • Managing high-level executive calendars, including prioritizing Board of Directors (BOD) and cross departmental meetings.
  • Representing C-Suite in meetings and client engagements when required.
  • Preparing presentation decks based on minute meeting notes, discussion summaries, and executive
    instructions.
  • Conducting quality control on management presentation slides and reports before submission to C-Suite
    and BOD.
  • Following up with HODs for monthly meeting slide preparation and outstanding deliverables.
  • Liaising with relevant organizations, clients, and regulatory bodies on behalf of C-Suite.
  • Providing advice and recommendations regarding company-related matters as delegated.
  • Managing personal and business travel arrangements for C-Suite.
  • Ensuring confidentiality and discretion at all times.

Education and/or Work Experience Requirements:

  • 5 - 8 years of experience in executive or administrative support, preferably with C-Level executives.
  • Degree holder from a recognized college or university.
  • Strong relationship-building, client engagement, and customer service skills.
  • Excellent written and verbal communication skills in English, Bahasa Malaysia, or Mandarin.
  • Experience in coordinating Board of Directors (BOD) meetings and executive governance.
  • Organized, detail-oriented, and able to multitask effectively.
  • Strong analytical, negotiation, and problem-solving abilities.
  • Professional, discreet, and diplomatic in handling sensitive matters.
  • Proactive, intuitive, and able to work independently under pressure while meeting deadlines
