About the job Secretary
Essential Duties and Responsibilities:
- Managing high-level executive calendars, including prioritizing Board of Directors (BOD) and cross departmental meetings.
- Representing C-Suite in meetings and client engagements when required.
- Preparing presentation decks based on minute meeting notes, discussion summaries, and executive
instructions. - Conducting quality control on management presentation slides and reports before submission to C-Suite
and BOD. - Following up with HODs for monthly meeting slide preparation and outstanding deliverables.
- Liaising with relevant organizations, clients, and regulatory bodies on behalf of C-Suite.
- Providing advice and recommendations regarding company-related matters as delegated.
- Managing personal and business travel arrangements for C-Suite.
- Ensuring confidentiality and discretion at all times.
Education and/or Work Experience Requirements:
- 5 - 8 years of experience in executive or administrative support, preferably with C-Level executives.
- Degree holder from a recognized college or university.
- Strong relationship-building, client engagement, and customer service skills.
- Excellent written and verbal communication skills in English, Bahasa Malaysia, or Mandarin.
- Experience in coordinating Board of Directors (BOD) meetings and executive governance.
- Organized, detail-oriented, and able to multitask effectively.
- Strong analytical, negotiation, and problem-solving abilities.
- Professional, discreet, and diplomatic in handling sensitive matters.
- Proactive, intuitive, and able to work independently under pressure while meeting deadlines
