Position Overview

The Recruiting Coordinator – Physician & Provider Recruitment plays a key role in supporting full-cycle recruitment efforts for physicians and advanced practice providers. This individual will partner closely with physician recruiters and recruitment leadership to coordinate hiring activities, maintain candidate pipelines, and ensure a smooth and professional candidate experience from initial outreach through onboarding.

This position blends coordination, candidate engagement, and operational support, helping to keep recruitment efforts organized, efficient, and responsive. The role also contributes to outreach initiatives, including residency programs, conferences, and other talent pipeline-building activities.

Key Responsibilities

Recruitment Coordination

  • Schedule and coordinate interviews with clinical leaders, operational stakeholders, and executive teams
  • Manage complex calendars and logistics across multiple locations and participants
  • Serve as a primary point of contact for candidate communications throughout the hiring process
  • Support preparation of offer materials and onboarding documentation
  • Coordinate background checks, credentialing steps, and pre-employment requirements

Candidate Sourcing & Pipeline Support

  • Assist in building and maintaining pipelines for physicians and advanced practice providers
  • Conduct outreach to residency and fellowship programs to support long-term hiring strategies
  • Support targeted outreach campaigns using recruitment platforms and CRM tools
  • Provide initial resume review and screening support as needed

Events & Outreach

  • Assist with planning and execution of recruitment events, including conferences and job fairs
  • Coordinate logistics for outreach efforts with training programs and professional networks
  • Prepare and distribute recruitment materials and candidate-facing content

Recruitment Operations

  • Maintain accurate candidate records and activity tracking within the Applicant Tracking System (ATS)
  • Monitor and report on pipeline activity and recruitment metrics
  • Ensure documentation is complete, organized, and aligned with internal processes
  • Provide general administrative and reporting support to the recruitment team

Qualifications

  • Associate's degree or equivalent experience required
  • Bachelor's degree in Human Resources, Healthcare Administration, Business, or related field preferred
  • 1–3 years of experience in recruiting coordination, HR, or administrative support
  • Exposure to healthcare or provider recruitment is a plus

Skills & Competencies

  • Strong organizational skills with the ability to manage competing priorities
  • Experience coordinating schedules across multiple stakeholders
  • Clear and professional communication skills (written and verbal)
  • High attention to detail and accuracy in documentation
  • Ability to handle sensitive information with discretion
