Epic Hot Tubs & Swim Spas is one of North Carolina's fastest-growing spa and swim spa retailers, with multiple locations and a strong reputation for delivering exceptional customer experiences. As we continue to grow, we're looking for a highly organized and dependable Operations Coordinator to support our day-to-day business operations.

Position Overview

This role plays a key part in keeping our operations running smoothly. You'll be responsible for managing invoicing and billing, tracking inventory of parts and chemicals, and supporting office operations across the business.

This is a hands-on role for someone who thrives in a fast-paced environment, enjoys staying organized, and takes ownership of getting things done accurately and efficiently.

Key Responsibilities

Invoicing & Billing

• Create and manage invoices for completed work
• Ensure accuracy and timely processing of all billing
• Follow up with internal teams to gather any missing information needed for invoicing
• Help ensure all billable work is captured and processed

Inventory Management (Parts & Chemicals)

• Track and manage inventory levels for parts and chemicals
• Maintain accurate inventory records and usage tracking
• Reorder stock as needed to prevent operational delays
• Coordinate with team members on inventory needs and usage
• Monitor inventory trends and flag discrepancies

Office Operations

• Order and maintain office supplies
• Keep internal records organized and up to date
• Support administrative needs across departments
• Help maintain structure and organization in day-to-day operations

What We're Looking For

• Strong organizational and follow-through skills
• Experience with invoicing, billing, or administrative operations
• Comfortable managing inventory and tracking supplies
• Detail-oriented with a focus on accuracy
• Ability to work independently and take ownership
• Strong communication skills across teams

Preferred Experience

• Experience in a service-based or operational environment
• Familiarity with inventory tracking or supply management
• Experience with QuickBooks or similar invoicing systems
• Experience supporting multiple teams or departments
