Position: Litigation Secretary
Location: New York City, NY (Hybrid)
Pay: $90,000 to $125,000 annually
Experience: 5+ years of experience to support the Firms Construction and Infrastructure Litigation Groups.
Education: High School Diploma or equivalent is required. A bachelors degree is preferred.
Type: Full-time; Direct Hire
Schedule: Monday – Friday, 8:30am to 5:00pm
Kent Daniels & Associates is seeking a Litigation Secretary to join our dynamic law firm client!
Job Description:
Creating, editing, revising, redlining, and proofreading documents (from dictation, handwritten, typed/eCopy).
Preparing templates for briefs, motions, Tables of Contents (TOC) and Tables of Authorities (TOA), appellate filings and other court documents.
eFiling documents with courts/agencies, ensuring appropriate and relevant court procedures are followed and deadlines are met.
Facilitate the calendaring/docketing of court and discovery deadlines and other important dates in conjunction.
Coordinate logistics of depositions, mediations, arbitrations, and trials (venue location, court reporter/videographer).
Process and route incoming/outgoing mail, faxes, and electronic communications.
Prepare new client/matter intake forms and engagement letters, liaising with the Conflicts team, General Counsel, and Finance Committee; process and monitor expense reports/reimbursements, vendor bills, and check requests.
Releasing time entries and prebills while coordinating with the billing team on the mailing of invoices.
Manage calendar, travel, and support logistics for meetings, depositions, mediations, arbitrations, and trials, and arrange additional support, catering, technology, and office services.
Support other legal support services department projects and initiatives, including providing back-up support to other legal secretaries firmwide.
Position Requirements:
Experience with managing tracked changes, formatting complex, multi-paged documents, TOCs and TOAs, liens and styles, and eFiling in State and Federal courts with a strong working knowledge of legal terminology, legal and court proceedings.
Knowledge of MS Office (Word, Excel, PowerPoint, Outlook.
Various legal software applications (iManage, Litera Compare, Chrome River).
Strong time management skills to support multiple attorneys, including the ability to multitask, prioritize work, and communicate workload challenges to attorneys and the administrative manager.
Superior communication and strong interpersonal skills; exceptional organizational, grammar, spelling, and proofreading skills.
Previous experience supporting construction litigation claims is preferred.
