ROLE OVERVIEW

The successful candidate will serve as the initial point of contact for visitors, partners, and employees, providing comprehensive administrative support to facilitate seamless office operations. 

This position necessitates a polished, professional, and highly organized individual capable of managing multiple tasks within a fast-paced, multinational setting. The ideal candidate will be proactive, detail-oriented, and dedicated to delivering outstanding internal and external customer service.

KEY RESPONSIBILITIES

Administrative Support

  • Provide day‑to‑day administrative support to the Office Manager and other departments as required.
  • Prepare, format, and distribute documents, reports, memos, and presentations.
    Maintain office filing systems (physical and digital) ensuring accuracy, confidentiality, and easy retrieval.
  • Support scheduling, calendar management, and meeting coordination for key stakeholders.
  • Assist with office operations and logistics for staff and visitors.
Front Desk & Reception Management
  • Welcome and attend to visitors, clients, and vendors in a courteous and professional manner.
  • Manage the reception area to ensure it is clean, organized, and reflective of the company's brand standards.
  • Coordinate visitor access, maintain visitor logs, and ensure compliance with security protocols.
  • Handle incoming and outgoing mail, packages, and courier services.

Office Operations

  • Monitor and manage office supplies, stationery, and consumables; liaise with vendors for replenishment.
  • Support facility management activities including maintenance requests, office repairs, and service provider coordination.
  • Assist in organizing company events, meetings, and employee engagement activities.
  • Ensure compliance with company policies, health & safety standards, and operational procedures.

QUALIFICATIONS & EXPERIENCE

  • Bachelor's degree in Business Administration, Office Management, Social Sciences, or related field.
  • 2 years minimum experience in administrative or front‑desk roles, preferably within a multinational or corporate environment.
  • Strong communication skills (verbal and written).
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with office equipment (printers, switchboards, scanners).
  • Knowledge of customer service principles and professional etiquette.
