About the Job

You are the operational backbone of the movie production team, responsible for ensuring smooth execution of production activities through strong control systems, vendor coordination, budget discipline, and accurate reporting. You will support the Production Operations Lead (POL) by managing daily operational control, ensuring all transactions are tracked, approvals documented, vendors coordinated, and risks escalated early to prevent disruptions.

You must be highly organized, detail-oriented, and comfortable working in a fast-paced production environment. You must be able to enforce processes, manage multiple stakeholders, and maintain strict financial discipline.

Outcomes You Are Responsible For 

  • No cash leakage and no unexplained expenditure
  • No shoot day stoppages caused by missing logistics, delayed payments, or vendor failures
  • Clean weekly reporting to Executive Producer with accurate money tracking, schedule status, and risk identification
  • Complete evidence pack ready for post-production, delivery, and future audits

Principal Duties / Responsibilities

Operational Control & Budget Management

  • Maintain and update the daily production tracker with all transactions, commitments, and expenditures by end of day.
  • Monitor budget variance and flag deviations immediately.
  • Coordinate payment runs twice daily, ensuring approvals and evidence are complete before payment.
  • Enforce strict documentation discipline.

Approval Workflow Management

  • Enforce approval gates and ensure all approvals are logged within 2 hours.
  • Escalate high-value or non-budgeted approvals to the Executive Producer with full justification and evidence.
  • Maintain accurate approval logs and evidence links.

Evidence & Document Control

  • Maintain organized document structure for contracts, quotes, invoices, receipts, payment sheets, and weekly reports.
  • Work closely with the Executive Assistant to ensure document hygiene, version control, and audit readiness.
  • Prepare weekly evidence packs for post-production review and audit purposes.

Vendor & Procurement Coordination

  • Manage vendor onboarding, procurement, and delivery tracking.
  • Enforce procurement rules, including the three-quote requirement for purchases above the threshold.
  • Resolve vendor disputes and confirm deliveries before final payments.

Stakeholder Coordination

  • Serve as the primary operational interface with the Line Producer.
  • Receive funding requests and process through approval workflows.
  • Provide daily budget updates and ensure production teams comply with Stride processes.

Risk Management & Issue Escalation

  • Identify operational risks, budget overruns, and schedule issues daily.
  • Maintain a live issues log with owners, deadlines, and mitigation plans.
  • Escalate critical issues immediately during daily stand-up meetings.

Job Requirements

  • Bachelors degree (BSc) in Business Administration, Project Management, Finance, Accounting, Operations Management, or related field.
  • Minimum 3 years experience in production coordination, operations management, or financial control; within the filmmaking, entertainment or media production industry.
  • Strong track record in budget management, expenditure tracking, and approval enforcement.
  • Advanced Excel/Google Sheets skills including budget tracking, reconciliation, pivot tables, and reporting.
  • Excellent organizational, communication, and stakeholder management skills.
  • Strong attention to detail and ability to work under pressure.
  • Confident using project management tools (Asana, Monday.com, etc.) and cloud-based document management systems.
  • Familiarity with production accounting systems and reconciliation

  • Knowledge of procurement best practices, supplier vetting, and audit processes.
  • Experience handling petty cash and daily reconciliation.
  • Understanding of regulatory compliance and production permits.
